Work Location: Raffles Place
Woking Hours: 8.30 am to 6.00 pm
Responsibilities:
- Provide excellent front desk reception duties, managing internal and external stakeholders professionally and promptly. Maintain a clean, safe, and presentable reception area, equipped with all necessary materials. Offer beverages to visitors in meeting rooms.
- Manage incoming calls by operating the switchboard, screening, and directing calls appropriately.
- Oversee all aspects of meeting rooms, including coordinating and scheduling external client meetings. Provide technical support, such as uploading presentations and facilitating Teams/VC connections.
- Handle business travel arrangements, including coordinating flight and accommodation bookings. Maintain records of business travels for internal audit purposes.
- Take responsibility for postal and courier services, both locally and internationally.
- Maintain an adequate stock of stationery and pantry supplies. Verify invoices and provide procurement support by sourcing related vendors, evaluating quotations, and making recommendations.
- Provide facilities management support to ensure the efficient and effective delivery of logistics and support services in the office environment.
- Assist with other ad-hoc office administrative duties as assigned.
Requirements:
- Diploma/ O levels with minimum 1-3 years of relevant receptionist/ front desk experience, ideally in Banking and Financial industry.
- Strong communication and interpersonal skills.
- Customer-service oriented mindset with a strong ability to work well in a team.
- Working knowledge of Microsoft Office suite (Word, Excel, PowerPoint, Outlook), and previous administrative experience is preferred
