Job Description
Key Responsibilities
Receptionist
- Serve as the first point of contact for all visitors, clients, and employees, delivering professional and courteous front desk services.
- Manage incoming telephone calls by answering, screening, forwarding, and taking messages promptly and accurately.
- Coordinate incoming and outgoing mail, courier services, and deliveries.
- Administer company vehicle scheduling, allocation, and usage records.
- Arrange and coordinate internal and external meetings, including scheduling and venue bookings.
- Procure office supplies, equipment, and services in compliance with company policies and procedures.
- Process employee reimbursement claims (e.g., travel, medical, and other business-related expenses) accurately and within established timelines.
- Provide general administrative support, including filing, document preparation, photocopying, data entry, and record maintenance.
- Perform other administrative, general affairs, or ad hoc duties as assigned.
Secretary
- Manage the Executive's calendar by scheduling appointments, meetings, conference calls, and coordinating travel arrangements.
- Maintain records, prepare reports, process expense claims, and handle confidential information with the highest level of discretion.
- Plan and coordinate travel itineraries, logistics, accommodation, transportation, and hospitality arrangements for visiting guests and business partners.
- Provide comprehensive administrative support to the Executive and undertake additional responsibilities as assigned.
Requirements
- Diploma in Business Administration or a related discipline is preferred.
- Minimum of two (2) years of relevant working experience. Fresh graduates with strong internship experience are encouraged to apply.
- Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Well-organized, proactive, and capable of managing multiple tasks and competing priorities effectively.
- Strong interpersonal, written, and verbal communication skills in both English and Chinese.
- Demonstrates professionalism, attention to detail, and the ability to maintain confidentiality.
