Key Responsibilities
Receptionist
. Provide Front Desk Reception duties for the office by managing internal and external stakeholders in a
professional and timely manner.
. Handle incoming calls by answering, screening, forwarding, and taking messages when required.
. Manage incoming and outgoing mail, courier services, and deliveries
. Oversee car management for the scheduling, allocation, and usage of company vehicles.
. Coordinate internal and external meetings, including scheduling and venue arrangements.
. Handle procurement of office supplies, equipment, and services in accordance with company policies.
. Process employee claims for reimbursements (travel, medical, etc.) in a timely and accurate manner.
. Provide general administrative support, including filing, photocopying, and data entry
. Other ad-hoc or general affairs duties as assigned
Secretary
. Manage the Executive's calendar, including the scheduling of appointments, meetings, and conference calls, as
well as the coordination of travel arrangements.
. Maintain records, process expenses, and handle confidential information with care.
. Plan and manage itineraries, logistics, and hospitality arrangements for incoming visitors
. Perform general administrative tasks and any additional duties as assigned by the executive
Requirements
. Diploma in Business Administration or a related field is preferred.
. Minimum 2-3 years of relevant experience, Fresh graduates with strong internships may also be considered.
. Proficient in Microsoft Office (Word, Excel, PowerPoint)
. Highly organized, proactive, and able to manage competing priorities
. Strong written and verbal communication skills in English and Chinese
