Job Summary
Provide attentive front office support by assisting school stakeholders with inquiries, managing communications, attending to sick or injured students, supporting administrative tasks, and maintaining accurate records in the General Office.
Responsibilities
- Greet and assist members of the public, parents, and students with their enquiries and requests in a courteous and professional manner
- Screen and direct incoming calls, take and relay messages, and provide accurate information to inquiries from school stakeholders
- Attend to sick or injured students reporting to the General Office, notify relevant staff promptly, and maintain detailed records of sick bay usage
- Organize and sort mail, receive deliveries, and assist with recording student late arrivals and verifying completeness of submitted forms
- Maintain accurate records of keys and lockers issued to students and staff
- Manage records of lost and found items, ensuring proper documentation and follow-up
- Monitor and replenish First Aid inventory to ensure supplies are available and up to date
- Perform additional duties as assigned by the Principal, Vice-Principals, Administration Managers, and Administrative Executives
Preferred competencies and qualifications
- Minimum 3 years experience as a receptionist or personal assistant to management/C-suite personnel, or relevant certificates
- Ability to interact courteously with visitors and colleagues using strong interpersonal skills
- Basic computer literacy with proficiency in Microsoft Office applications such as Word and Excel
- Effective verbal and written communication skills in English to support clear information exchange
- Proficiency in an additional local language (verbal and written) is advantageous for communicating with diverse stakeholders
- Ability to multitask and prioritize tasks efficiently in a dynamic office environment
- Capability to work independently with minimal supervision
Other Information
Working Hours
- Mondays to Fridays: 7:30am to 5:00pm, inclusive of 1-hour lunch break
- No work required on Saturdays, Sundays, and gazetted public holidays
