Job Summary
As a Receptionist and Admin Coordinator, you will play a pivotal role in ensuring the smooth and efficient operation of our office and retail operations. Reporting to the Office Admin Manager, your responsibilities will include providing reception support to the COMO office, attending to all visitors and inquiries with a poised and intuitive welcome. This role serves as the first touchpoint of the COMO brand experience; as such, you will ensure every interaction—whether in person or over the phone—reflects our commitment to understated luxury, discretion, and a clutter-free, professional environment. The ideal candidate will be highly organized, detail-oriented, and able to multi-task effectively while maintaining a calm, sophisticated presence.
Duties & Responsibilities
- Act as the primary Brand Ambassador by providing a refined, welcoming, and directing gesture to all office visitors; ensuring they are seated and informed promptly of their appointment status
- Attend to all phone calls and front-desk inquiries with professional poise and clarity.
- Maintain an immaculate and minimalist front-desk environment, ensuring the reception area always remains a guest-ready sanctuary
- Uphold high professional standards of grooming and attire, strictly adhering to the Business Casual dress code (e.g., tailored separates, neutral tones) to reflect the COMO corporate identity.
- Prioritize operational alertness by ensuring personal mobile devices are stowed away and used only during official breaks, ensuring 100% focus on guest service and administrative flow.
- Responsible for the printing of letterheads & envelopes for COMO Office.
- Provide administrative support to office and retail stores
- Oversee booking of meeting rooms and office equipment
- Requisition of pantry groceries
- To update the office and shop phone list.
- To co-ordinate courier service
- To sort all emails and incoming mails
- Manage procurement and sourcing for administrative supplies, pantry groceries, and retail materials (paper bags, shipments), while liaising effectively with suppliers and the warehouse
- Oversee office maintenance, cleanliness and assist with ad-hoc request for property maintenance
- Maintain and manage office supplies
- Other ad hoc duties given by the reporting Office Admin Manager
Requirements:
- Min diploma or at least 3 years relevant working experience as an office administrator
- Pleasant & friendly disposition
- Good phone etiquette and excellent organizational and time management skills
- Attentive to details and strong following up ability
- Proficiency in MS Office
