Job Description

The Purchasing & Administrative Executive supports both administrative operations and procurement functions to ensure efficient office management while sourcing technical materials, equipment, and services required for engineering projects. The ideal candidate is detail-oriented, cost-conscious, and familiar with engineering specifications and project timelines.


Key Responsibilities

Purchasing Duties

  • Source and procure engineering materials, equipment, tools, and services

  • Evaluate supplier quotations based on technical specifications, cost, and lead time

  • Negotiate pricing and terms with vendors and subcontractors

  • Prepare and issue purchase orders in line with project requirements

  • Coordinate closely with engineers to ensure purchased items meet specifications

  • Track deliveries and ensure timely supply to project sites

  • Handle discrepancies in quality, quantity, or delivery schedules

  • Maintain supplier performance records and approved vendor lists


Administrative Duties

  • Manage daily office operations to ensure smooth day-to-day operations

  • Coordinate meetings, site visits, and project schedules

  • Prepare reports, minutes of meetings, and internal documentation

  • Liaise with internal departments, site teams, and external stakeholders

  • Support HR and management with administrative tasks as needed


Requirements

  • Diploma or Degree in Business Administration, Supply Chain, Engineering, or related field

  • 2-5 years of experience in purchasing and administrative roles, preferably in engineering, construction, or manufacturing

  • Familiar with technical specifications, engineering materials, and equipment

  • Experience with ERP systems or procurement software

  • Strong negotiation and vendor management skills

  • Knowledge of inventory control and material planning

  • Good organizational and multitasking abilities in a project-based environment

  • Strong communication skills to liaise with engineers, suppliers, and project teams
