Main Purpose of the Role:
One of our clients is looking to hire a Purchase Executive to join their dynamic team. This role supports daily outlet operations through effective procurement, inventory management and supplier coordination.
Key Responsibilities:
Maintain and update the database and SOP
- Maintain and update supplier records, including contact details and designated persons-in-charge.
- Maintain and update stock lists, including stock costs and selling prices.
- Review and update Standard Operating Procedures (SOPs) for purchasing, ordering, and internal delivery processes.
Purchase & Ordering
- Liaise with and support Outlet Managers in ordering products, kitchen wares, and other operational supplies.
- Negotiate with suppliers to secure competitive pricing, reliable stock availability, quality standards, and favourable terms and conditions.
- Conduct market research to identify and propose new or value-added products and suppliers.
- Source suitable alternative products when items are unavailable or discontinued.
- Coordinate with suppliers to resolve issues related to product quality, shipping, and delivery.
- Liaise with and support chefs in the ordering of key ingredients such as salmon and sake.
Inventory
- Design and implement an inventory tracking system to optimise inventory control procedures.
- Record and document daily deliveries and shipments to maintain accurate inventory data.
- Prepare stock take documents and ensure proper stock take procedures are in place.
- Conduct stock take checks to verify inventory accuracy.
Reports
- Prepare analysis reports on inventory operations, stock levels, and stock adjustments to support informed decision-making
Other Requirements
- Perform ad-hoc tasks as assigned by the Manager.
- Communicate and liaise effectively with Outlet Managers and the Marketing Department.
- Travel to outlets as required to support operations and coordination.
Requirements:
- At least 2 to 3 years of experience as a Purchase Executive in the F&B industry or similar capacity.
- Strong multitasking and organisational skills.
- Proficient in Microsoft Office applications (Word, Excel, etc.).
- Meticulous with strong attention to detail.
- Comfortable with regular travel to outlets.

Working Location: West Coast Plaza (Head Office)
Working Hours: Mon to Fri, 9 am to 6 pm (1 hr lunch break)
