Job Summary

Manage daily estate operations, coordinate meetings and events, oversee maintenance and contractor services, and liaise with stakeholders to ensure smooth estate management and compliance with regulations.

Responsibilities

  • Conduct daily site inspections to monitor estate conditions and identify issues for timely resolution
  • Manage overall estate operations to maintain safety, functionality, and resident satisfaction
  • Coordinate and lead Council, sub-committee, and other estate-related meetings to facilitate decision-making
  • Record and maintain accurate minutes of meetings in an organized manner for reference and compliance
  • Respond promptly to correspondences from residents and council members to address concerns and inquiries
  • Monitor contractor services to ensure delivery with due diligence and adherence to agreed standards
  • Organize and coordinate social events such as CNY Lion Dance, Family Day, Earth Day, Residents Night, and games tournaments to foster community engagement
  • Maintain and update Strata rolls to ensure accurate resident and property records
  • Provide guidance and operational support to site staff to enhance team performance and issue resolution
  • Report unresolved site matters to HQ Directors or Managers for further action and decision-making
  • Prepare documents for Annual General Meetings, Extraordinary General Meetings, Management Fund Budgets, and Sinking Fund Schedules to support governance and financial planning
  • Plan and implement preventive and corrective maintenance schedules to ensure estate upkeep and safety
  • Propose feasible improvement works to enhance estate facilities and resident experience
  • Liaise and coordinate with local authorities on estate-related matters to ensure regulatory compliance
  • Invite quotations and evaluate proposals for ad-hoc repair works and term contracts to recommend cost-effective solutions
  • Prepare tender specifications and documents for major upgrading or repair works to facilitate procurement processes
  • Manage arrear cases and recommend enforcement actions to the council to maintain financial discipline
