Job Description

Role Overview:
We are seeking a proactive and detail-oriented Estate Executive to oversee the daily operations and maintenance of property. Reporting to the Estate Manager, you will ensure the property is maintained to the highest standards while managing administrative, financial, and contractor-related functions.

Key Responsibilities:

Estate Maintenance: Oversee all upkeep activities and conduct thorough, routine inspections of common areas to ensure effective management and aesthetic excellence.

Operational Support: Execute full maintenance, administrative, and financial functions under the supervision of the Estate Manager.

Contractor Management: Liaise with and supervise onsite contractors and vendors. Verify that all service delivery meets contract requirements, schedules, and agreed KPIs.

Administrative Oversight: Manage the submission of monthly maintenance schedules, quotations, claims, and invoicing.

Procurement: Obtain competitive quotations for repairs and services. Raise Purchase/Work Orders and track the progress of defect rectifications and damage repairs.

Incident Response: Attend to emergencies or onsite incidents promptly in accordance with established SOPs and response times.

Resident Liaison: Professionally address resident feedback and complaints, ensuring every case is recorded, tracked, and resolved to satisfaction.

Ad-hoc Duties: Support the Estate Manager and HQ Management with urgent onsite tasks or exigencies as required.

Requirements:
Proven experience in Estate Management or a similar facilities management role.

Strong organizational skills with the ability to manage multiple administrative and financial tasks.

Excellent communication and interpersonal skills for resident and vendor engagement.

Language Proficiency:

Proficiency in English and Mandarin (Chinese) is required to effectively communicate with Chinese-speaking residents and stakeholders.

Ability to work independently and respond effectively to emergencies.
