The Project Procurement Officer will manage the procurement processes for a designated project, ensuring that all procurement activities comply with company policies, industry standards, and project timelines. This role is critical in securing high-quality goods and services while maximizing value and maintaining transparency. The role requires collaboration with internal stakeholders, contractors, and suppliers to meet project objectives efficiently and cost-effectively.
Responsibilities:
Project Procurement Planning
- Develop and execute procurement strategies aligned with the project's goals and timeline. Collaborate with project managers to forecast procurement needs and ensure timely acquisition of materials, equipment, and services.
Vendor Management
- Identify, evaluate, and negotiate with vendors and suppliers to ensure competitive pricing, quality standards, and delivery timelines. Maintain strong relationships with suppliers to ensure long-term value and project success.
Tender & Contract Management
- Prepare tender documentation, manage the tendering process, and ensure adherence to procurement policies. Evaluate bids, negotiate contracts, and oversee contract execution to safeguard company interests.
Procurement Execution
- Handle end-to-end procurement processes, including purchase order creation, vendor performance tracking, and invoice reconciliation. Ensure all procurement activities are documented accurately and aligned with the project requirements.
Risk & Compliance Management
- Ensure compliance with internal procurement policies, legal requirements, and industry standards. Assess risks in procurement activities and mitigate them through careful planning and execution.
Reporting & Documentation
- Maintain accurate and up-to-date procurement records, including purchase orders, supplier agreements, and contract documentation. Generate procurement reports for project stakeholders and senior management.
Budget & Cost Control
- Work closely with the finance team to manage procurement budgets, monitor expenditures, and implement cost-saving measures without compromising quality or timelines.
Asset Disposal
- Oversee the disposal of project-related assets at the end of their lifecycle, ensuring compliance with organizational procedures.
Requirements:
- Diploma or Degree in Business, Purchasing, Supply Chain Management, or a related field.
- Minimum 3 years of experience in procurement, preferably in a project-based role.
- Experience in managing end-to-end procurement processes, including vendor negotiations and contract management.
- Familiarity with project management principles and the ability to work in a fast-paced environment.
- Knowledge of procurement systems and tools (SAP and Sesami preferred).
