About the Role
The PMO will provide practical project administration and coordination support to the program, helping teams stay organised, coordinate key activities and support effective delivery across the program. This role will support day-to-day project coordination, workshop and meeting logistics, travel coordination, stakeholder follow-up, document administration and general program support activities. It is suited to someone who is highly organised, proactive, responsive and comfortable working across multiple teams in a fast-paced transformation environment.
Key Responsibilities
Regional Project Coordination
- Provide day-to-day project administration and coordination support to program teams.
- Coordinate project activities across regional teams, including workshops, working sessions, stakeholder meetings, team sessions and program events.
- Maintain local and regional project trackers, action logs, contact lists, meeting records and other working documents.
- Support follow-up on actions, decisions and information requests across regional project teams.
- Help teams follow agreed project processes, governance requirements and ways of working.
Workshop and Meeting Logistics
- Coordinate logistics for workshops and other program activities.
- Support room bookings, invitations, attendance tracking, catering, technology set-up and workshop materials.
- Assist with preparing, formatting and distributing meeting packs, presentations, agendas, pre-read materials and follow-up notes.
- Support coordination between facilitators, participants, regional teams and delivery partners to ensure sessions run smoothly.
Travel and Program Administration
- Coordinate travel requirements for regional teams and visiting program stakeholders, including itinerary support, accommodation coordination and related administration.
- Support visiting team members with general local logistics, meeting arrangements and site coordination where required.
- Assist with expense-related administration and other general project support activities.
- Coordinate day-to-day administrative requests across the regional project team and track items through to completion where required.
Stakeholder and Team Coordination
- Support timely communication across teams by coordinating information, documentation and follow-up actions.
- Act as a point of coordination for regional project administration queries and direct requests to the appropriate team or process owner.
- Build effective working relationships across project teams, local stakeholders and global delivery partners.
Key Capabilities and Experience
- Experience in project administration, program coordination or team administration within a project, program or corporate environment.
- Strong organisational and time management skills, with the ability to coordinate multiple activities and deadlines.
- Experience supporting workshops, meetings, travel logistics and stakeholder coordination.
- Strong attention to detail and ability to maintain accurate records, trackers and documentation.
- Good working knowledge of Microsoft 365 tools, including Outlook, Teams, SharePoint, PowerPoint and Excel.
- Clear written and verbal communication skills.
- Ability to work autonomously within agreed processes and escalate issues when required.
- Practical judgement, confidentiality and a proactive, service-oriented approach.
- Ability to work effectively with regional teams, global stakeholders, contractors, vendors and delivery partners.
- Experience supporting large transformation, technology, change or operational programs will be highly regarded.
