Job Summary
Coordinate and execute cross-functional and cross-border projects for retail visual displays, ensuring timely delivery and clear communication with clients, suppliers, and logistics partners. Manage documentation, shipment logistics, and provide proactive support under pressure.
Responsibilities
- Track and follow up on multiple cross-functional and cross-border projects to ensure key milestones such as drawings, samples, production, and shipment are completed on schedule
- Proactively identify and resolve project issues by coordinating with relevant parties to maintain project momentum
- Prepare and deliver clear project status updates to management, highlighting progress, risks, and required actions
- Serve as a key communication liaison with clients, factories, suppliers, and logistics partners to ensure alignment and clarity
- Conduct professional external communications via emails, meetings, and messaging tools in English to facilitate effective collaboration
- Arrange meetings, document meeting notes, and follow up on action items to ensure accountability
- Prepare, organize, and maintain comprehensive project documentation including CIPL, shipping documents, project trackers, inventories, drawings, technical documents, and correspondence records
- Support bilingual (Chinese-English) translation of documents and drawing notes to facilitate clear communication
- Coordinate shipment arrangements and ensure alignment between factories, logistics providers, and clients
- Monitor shipment status and manage exceptions promptly and professionally
- Provide hands-on support during peak periods or urgent situations to ensure project continuity
- Take initiative to advance tasks proactively, even when information is incomplete
Required competencies and certifications
- Proficiency in both written and spoken English at a professional level to conduct external communications effectively
- Proficiency in Chinese language to support bilingual translation and communication needs
- Strong execution skills with a proactive, ownership-driven mindset to manage projects efficiently
- Ability to organize and manage multiple tasks with effective time management skills
- Proficiency in MS Office or Google Workspace, especially Excel, to manage project data and documentation
- Attention to detail and reliability to maintain accuracy and meet deadlines under pressure
