Job Summary
You will assist Project Managers in coordinating ongoing projects by monitoring plans, schedules, budgets, and expenditures to ensure timely delivery. You will engage stakeholders, manage project documentation, assess risks, and support project execution to drive successful outcomes.
Responsibilities
- Monitor and maintain project plans, schedules, work hours, budgets, and expenditures to ensure alignment with project goals
- Organize, attend, and actively participate in stakeholder meetings to facilitate communication and decision-making
- Document meeting actions and decisions, and follow up to ensure timely resolution and progress
- Prepare clear and effective presentation materials to support meetings and project updates
- Track project deadlines and implement measures to ensure timely completion of deliverables
- Identify and evaluate project changes, coordinating adjustments with relevant stakeholders
- Provide administrative support to streamline project workflows and documentation management
- Execute assigned project tasks to support overall project objectives and timelines
- Develop project strategies that align with organizational frameworks and project requirements
- Ensure all projects comply with established frameworks and maintain accurate, up-to-date documentation
- Assess project risks and issues, proposing practical solutions to mitigate impact and maintain progress
- Manage stakeholder expectations and facilitate consensus towards optimal project solutions
- Chair and facilitate meetings when appropriate, distributing minutes to ensure clear communication among project team members
- Create and maintain a project management calendar to track goals, milestones, and deliverables
- Respond promptly and effectively to Clients and Consultants needs to maintain strong relationships
- Oversee external vendors and suppliers to ensure quality and timely delivery of services
- Conduct client surveys to gather feedback and inform project improvements
- Collect and analyze site data to support project decision-making and process enhancements
- Identify and define new processes for continuous improvement in project execution
Required competencies and certifications
- Competency in Microsoft applications including Project, Word, Excel, and PowerPoint to support project coordination tasks
- Ability to work effectively under tight deadlines, both independently and collaboratively within a team
- Strong verbal, written, and presentation communication skills to engage stakeholders and convey project information clearly
- Knowledge of file management, transcription, and administrative procedures to maintain project documentation
Preferred competencies and qualifications
- Prior work experience in project coordination or related roles is advantageous but not mandatory
- Passion for the role and willingness to learn and develop project management skills
