Job Description

We are seeking a Project Coordinator to support Cisco Customer Experience (CX) initiatives within the aviation industry. This role will provide hands-on project coordination, governance support, and bid management assistance for strategic initiatives.

The Project Coordinator will work closely with stakeholders, technical leads, and external partners to ensure projects are planned, tracked, and delivered on time, with strong governance and communication.

Key Responsibilities

Project Coordination & Governance

  • Support end-to-end project activities from initiation through closure.

  • Assist in setting up project governance structures, cadence, and stakeholder communication plans.

  • Coordinate day-to-day project activities across multiple workstreams and stakeholders.

  • Organize and facilitate project meetings, including agenda preparation, minutes, and action tracking.

  • Maintain project documentation, trackers, schedules, and status reports.

Planning & Tracking

  • Develop and maintain project plans, timelines, and tracking templates.

  • Maintain risk, issue, and dependency registers proactively highlight potential bottlenecks.

  • Track deliverables and milestones against agreed timelines.

  • Support reporting on project progress, risks, and outcomes to stakeholders.

Execution & Stakeholder Support

  • Conduct or support weekly checkpoints with internal stakeholders.

  • Follow up on action items and ensure timely closure.

  • Coordinate inputs from technical and non-technical teams to ensure alignment.

  • Support quality assurance reviews of project and proposal documentation.

Bid Management & Proposal Support

  • Support bid and RFP management activities as required.

  • Coordinate proposal development activities, timelines, and stakeholder inputs.

  • Assist in proposal reviews, quality checks, and final submission preparation.

  • Support post-submission activities, including response planning and stakeholder coordination.

Continuous Improvement

  • Identify opportunities to improve project processes, delivery efficiency, or customer outcomes.

  • Maintain awareness of industry trends, particularly within aviation and technology services.

  • Support documentation of lessons learned and post-project reviews.

Required Experience & Qualifications

Experience

  • Minimum 3 years of experience in project coordination or project management roles.

  • Experience supporting complex, multi-stakeholder projects.

  • Exposure to bid management, RFPs, or proposal coordination is an advantage.

  • Prior experience in the aviation industry is preferred but not mandatory.

Certifications

  • CAPM (Certified Associate in Project Management) or equivalent project management certification (required).

Skills & Competencies

  • Strong organizational and time-management skills with attention to detail.

  • Ability to work effectively under pressure and manage multiple priorities.

  • Strong analytical and problem-solving capabilities.

  • Excellent verbal and written communication skills.

  • Comfortable working independently as well as collaboratively in team environments.

  • Familiarity with standard productivity tools (MS Word, Excel, PowerPoint, Visio).

  • Exposure to Cisco technologies or platforms is a plus.

  • Interest or experience in developing or supporting AI-related business use cases is an advantage.

Due to hiring quota shortage, potential incumbent should be Singapore citizen or holding Singapore Permanent Resident status.

Successful applicant can expect monthly remuneration of SGD4,000 to SGD4,500
