1. Role Description
This position reports to the Director and supports the planning, execution, and monitoring of our renovation and construction projects. The role acts as a central coordination point between project managers, subcontractors, suppliers, and internal departments to ensure projects are delivered on time, within budget, and according to quality standards.
2. Specific Responsibilities
- Project Coordination & Administration
- Coordinate daily project activities across multiple renovation and construction sites
- Assist in project scheduling, work sequencing, and progress tracking
- Prepare and maintain project documentation including drawings, permits, variation orders, and progress reports
- Track project timelines and flag potential delays or issues to management early.
- Site & Stakeholder Coordination
- Liaise with site supervisors, subcontractors, suppliers, and internal teams
- Coordinate material deliveries, installation schedules, and manpower deployment
- Attend site meetings and prepare meeting minutes and follow-up action lists
- Assist in monitoring project costs, material usage, and variation works
- Track purchase orders, invoices, and delivery notes related to projects
- Support claims, progress billing, and documentation for client submissions
- Quality & Compliance Support
- Support compliance with safety regulations, company SOPs, and site standards
- Assist in quality checks and ensure works follow approved drawings and specifications
- Coordinate rectification works and defects follow-up
3. Competencies
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Strong organisational and multitasking abilities
- Clear communication skills, both written and verbal
