Job Summary
Reporting to the Project Manager, you will support fire protection projects by tracking site progress, processing commercial documents, and ensuring timely submissions to keep projects and cash flow on track.
Responsibilities
- Track and update project progress schedules based on site feedback and coordinate with site teams
- Prepare and submit progress claims, invoices, and payment certificates to clients and consultants
- Draft and submit quotations and variation order claims, following up for approval
- Compile project documentation for submissions, including drawings, catalogues, and method statements
- Liaise with purchasing team to monitor material deliveries against project timelines
- Maintain project filing systems and ensure commercial records are accurate and audit-ready
- Assist Project Manager with meeting minutes, progress reports, and correspondence
- Monitor outstanding payments and support collection follow-ups
Required competencies and certifications
- Minimum 1-2 years of project coordination or admin experience in construction, MEP, or fire protection
- Familiar with progress claims, invoicing, and variation order processes
- Strong attention to detail and ability to manage multiple deadlines
- Proficient in MS Office, especially Excel and Word knowledge of Autocad/Bluebeam is a plus
- Good communication skills to liaise with clients, consultants, and internal teams
Preferred competencies and qualifications
- Nitec or Diploma in Building, Mechanical Engineering, or related discipline
- Experience with SCDF submission paperwork or fire protection systems
- Knowledge of ISO documentation processes
