Job Description
KeyResponsibilities
- Coordinate and support the planning, execution and completion of projects from commencement to handover.
- Liaise with clients, consultants, contractors, suppliers and internal teams to ensure smooth project coordination and communication.
- Prepare and maintain project schedules, work plans, progress reports, meeting minutes and other project documentation.
- Monitor project progress, deliverables and timelines, and follow up with relevant parties on outstanding matters.
- Coordinate site activities, meetings, inspections and project-related arrangements where required.
- Assist the Project Manager in tracking project costs, materials, manpower and resources to ensure projects are delivered efficiently.
- Review project requirements, drawings, specifications and other relevant documents, and highlight discrepancies or potential issues.
- Follow up on material orders, deliveries and site requirements to minimise delays to project activities.
- Coordinate with subcontractors and suppliers on work schedules, quotations, deliveries and site matters.
- Assist in preparing quotations, purchase orders, variation orders, progress claims and other project-related documents.
- Maintain accurate records of project correspondence, approvals, submissions, reports and other documentation.
- Identify potential project delays, coordination issues or risks and escalate them to the Project Manager in a timely manner.
- Ensure project activities are carried out in accordance with company procedures, client requirements and applicable safety and quality standards.
- Provide administrative and coordination support to the project team as required.
Requirements
- Relevant experience in events, exhibitions, festive decorations, interior fit-out or project coordination is preferred, although candidates with strong learning altitude are welcome to apply.
- Excellent organizational, communication and interpersonal skills.
- Resourceful, proactive and able to work independently under pressure.
- Strong attention to detail with excellent problem-solving abilities.
- Customer-focused with a positive and professional attitude.
- Able to work flexible hours, including weekends, public holidays and night shifts when required.
- Possess a Class 3 driving licence (advantageous).
