Job Description

Job Summary

The Project Coordinator will support the Project Manager in the coordination of architectural works, quantity surveying, procurement, subcontractors, suppliers, project documentation, and site activities. The candidate will be responsible for ensuring that project works, materials, costs, and procurement activities are properly coordinated and delivered in accordance with project requirements, approved drawings, specifications, budget, quality standards, and schedule.

Key Responsibilities

1. Architectural & Project Coordination

  • Coordinate architectural works and site activities with the Project Manager, consultants, subcontractors, and suppliers.
  • Review and coordinate architectural drawings, shop drawings, specifications, material submissions, and technical documents.
  • Coordinate architectural interfaces with civil, structural, M&E and other disciplines.
  • Prepare and follow up on RFIs, material submissions, shop drawings, inspection requests, and technical submissions.
  • Monitor site progress and ensure works are carried out in accordance with approved drawings and specifications.
  • Conduct site inspections and coordinate rectification of defects and non-conformities.
  • Maintain drawing registers, submission logs, technical records, and project documentation.
  • Assist with preparation of as-built drawings and handover documentation.

2. Quantity Surveying / Commercial

  • Carry out quantity take-offs, measurements, and preparation of BOQs based on drawings and project requirements.
  • Obtain and evaluate subcontractor and supplier quotations.
  • Prepare quotation comparisons and assist in commercial evaluations.
  • Monitor project costs against approved budgets.
  • Prepare and maintain variation orders, variation logs, and supporting documentation.
  • Measure subcontractor works and assist with progress claims and payment certification.
  • Assist in preparation of interim valuations, final accounts, and commercial reports.
  • Verify quantities, rates, materials, and completed works for billing purposes.
  • Assist the Project Manager in identifying potential cost impacts and commercial risks.

3. Procurement

  • Prepare RFQs and obtain quotations from suppliers and subcontractors.
  • Source suitable suppliers and subcontractors in accordance with project requirements.
  • Compare quotations based on price, technical compliance, quality, delivery period, and commercial terms.
  • Prepare procurement recommendations for management approval.
  • Coordinate purchase orders and procurement documentation.
  • Monitor material orders, production, delivery schedules, and site requirements.
  • Coordinate with suppliers to ensure timely delivery of materials to site.
  • Maintain procurement records, quotation comparisons, purchase orders, and delivery documentation.
  • Coordinate with the site team to forecast upcoming material and subcontractor requirements.

4. Project Administration & Coordination

  • Assist the Project Manager in preparing and monitoring project schedules.
  • Track outstanding submissions, approvals, procurement items, variations, and site issues.
  • Attend project/site meetings and maintain action lists.
  • Coordinate with clients, consultants, subcontractors, suppliers, and internal departments.
  • Assist in preparing progress reports and project status updates.
  • Ensure project documentation is properly maintained and readily available for audit and handover.
  • Perform other duties assigned by the Project Manager.

Requirements

  • Diploma or Degree in Architecture, Quantity Surveying, Building, Construction Management, Civil Engineering, or a related discipline.
  • Minimum 3-5 years of relevant experience in construction/project coordination.
  • Experience in architectural works, QS, procurement, or commercial coordination is preferred.
  • Good understanding of construction drawings, specifications, quantities, materials, and construction methods.
  • Proficient in Microsoft Office and AutoCAD knowledge of BIM/Revit is an advantage.
  • Good knowledge of quantity measurement, BOQ, variations, subcontractor claims, and procurement processes.
  • Experience in preparing quotation comparisons and evaluating suppliers/subcontractors.
  • Good communication and negotiation skills.
  • Strong organizational and documentation skills.
  • Ability to coordinate multiple activities and meet project deadlines.
  • Knowledge of Singapore construction practices and relevant authority requirements will be an advantage.
