Job Description

This role is based in Indonesia. The Project Associate works collaboratively with SMU Executive Development, PT SMU Indonesia and Dato Kho Hui Meng Career Centre, in facilitating international internships to Indonesia.

  • Project Management:
    • Partnership Development: Identify, engage, and onboard potential host companies in Indonesia, building a robust network for student internships.
    • Student Recruitment & Matching: Work with university career centres to screen student applications, conduct interviews, and match student skill sets with host company requirements.
    • Programme Management: Facilitate the end-to-end internship process, including orientation, tracking progress, monitoring performance, and final evaluations.
    • Collate all the report submission from students and send out internship evaluation to employers.
    • Logistics & Operational Support: Manage international, inbound logistics, including airport pickups, accommodation arrangements, and coordinating with Indonesian authorities/University Partner for visas and work permits (KITAS).
    • Stakeholder Management: Act as the primary liaison between foreign interns, host organizations/companies, and government entities (e.g., Ministry of Manpower).
    • Programme Implementation: Facilitate orientation sessions, cultural immersion workshops, and regular check-ins to monitor project progress and well-being.
    • Administrative Coordination: Maintain accurate documentation, manage databases of interns.
    • Crisis Management & Support: Provide pastoral care and troubleshoot issues related to accommodation, work environment, or personal emergencies for international participants.
    • Compile of receipts, invoices, claims, related reports for Global Ready Talent (GRT) grant disbursement with Enterprise Singapore.
    • Assist Head of Department, PCE Director with development and marketing to expand internship and training opportunities specifically for targeted majors and industries.
  • Programme Management:
    • Serve as the primary administrator for executing multiple concurrent executive programmes overseeing all aspects of the programme delivery from start to finish.
    • Manage internal and external stakeholder relationships, liaising with faculty and clients and ensuring the expectations of programmes are met.
    • Facilitate communication with clients and participants regarding pre-course preparation, in-class activities, evaluations, and necessary follow-up until all modules are completed.
    • Administer programme budgets according to approved costing, manage forecasting and reconciliation of expenditures.
    • Deputise for another Programme Management colleague during her absence as required.
    • Contribute to the general morale and professionalism of the SMU-ExD and SMUID PCE team.
  • Other duties as assigned.

Qualifications

  • Bachelor's degree in related field, along with more than 3 years proven experience in program coordination, HR, or administration, preferably within an international, educational, or NGO context.
  • Excellent team working skills with a flexible can-do approach, self-motivation, resilience and a willingness to adapt to the changing needs and priorities in SMU Executive Development/SMU Indonesia Professional and Continuing Education.
  • Systematic, thorough, and highly organised approach to work with the ability to work in tight deadlines.
  • Strong intercultural communication, adaptability, organizational skills, and problem-solving abilities in a fast-paced environment.
  • Exceptional communication, organizational, and time management skills, tolerance for ambiguity and the handling of multiple tasks are essential.
  • Ability to demonstrate a personable and diplomatic approach in dealing with a diverse range of people.
  • Ability to exercise sound judgment and creative problem-solving skills in making decisions. Acting agile towards programme's delivery plan changes.
  • Strong administrator carrying out high levels of accuracy and attention to detail when inputting data and providing information.
  • Excellent command of English (written and spoken) as this role handles international stakeholders.
  • Good IT skills include the use of the Microsoft Office Suite, particularly Word and Excel, Powerpoint and the ability to learn new systems.
  • Ability to effectively network within the local environment to secure internship and job placement opportunities for students.
  • Ability to work effectively with students and executive learners from diverse socio-economic backgrounds.
  • Ability to work on occasional weekends, weekdays evening and public holidays.
