Job Description

Job Summary

Provide essential administrative support at the project site by managing documentation, coordinating logistics, liaising with stakeholders, and supporting daily operations to ensure smooth workflow.

Responsibilities

  • Deliver daily administrative support to the project team to maintain efficient site operations
  • Prepare, organize, and maintain accurate documentation, filing systems, and reports for project tracking
  • Manage office supply procurement and control inventory to ensure availability of necessary materials
  • Schedule appointments and meetings to optimize team coordination and time management
  • Communicate effectively with vendors, clients, and internal departments to facilitate project needs
  • Support daily site operations by coordinating tasks that ensure smooth workflow and timely completion
  • Arrange and coordinate logistics for air and sea shipments to support project requirements
  • Attend weekly site meetings and accurately record minutes to document discussions and action items

Preferred competencies and qualifications

  • Diploma qualification preferred over minimum GCE O Level or equivalent
  • At least 1 year of administrative experience, preferably in construction or engineering industries
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) to produce and manage documents
  • Strong organizational and communication skills to handle multiple tasks and liaise with stakeholders
  • Ability to work independently and collaboratively within a team environment
  • Bilingual proficiency in English and Mandarin preferred to communicate with Mandarin-speaking counterparts
