RESPONSIBILITIES

DUTIES & RESPONSIBILITIES

Administrative Duties (Core Duty)

1. Administration & Operations

  • Support Centre Manager & Programme Manager (Sojourn) in admin, HR, volunteer and finance (claims) functions
  • Maintain accurate records and databases (staff, volunteers, clients, SOPs) in compliance with PDPA and TSA policies
  • Liaise with internal departments and external vendors to ensure smooth operations
  • Prepare statistics and reports for management and relevant authorities
  • Represent the Centre in meetings when required

2. Budget & Financial Support

  • Assist in budget preparation and monitoring
  • Process purchases, claims, donations and financial documentation
  • Ensure proper tracking, documentation and compliance with internal controls
  • Support quarterly budget reviews and reporting

3. Programme Support

  • Assist in planning, implementing and evaluating Sojourn and MWMG programmes
  • Engage migrant workers, volunteers and stakeholders in programme activities
  • Support outreach, engagement and development initiatives (e.g. Stay Strong Programme)
  • Monitor programme outcomes and recommend improvements
  • Ensure workplace safety and cultural sensitivity in programme delivery

4. Volunteer & Stakeholder Engagement

  • Support recruitment, coordination and engagement of volunteers and partners
  • Maintain positive relationships with volunteers, partners and stakeholders

5. General

  • Attend meetings and trainings as required
  • Foster teamwork and positive working relationships
  • Undertake additional duties as assigned

QUALIFICATIONS

Diploma or above.

OTHER INFORMATION

ACCOUNTABILITY

Reporting to: Centre Manager (Migrant Workers Ministry Group)

Key Responsibilities:

  • Work closely with the Centre Manager and Programme Managers (Sojourn & Carehaven)

  • Support administrative and programme functions of the Migrant Workers Ministry Group (MWMG)

  • Assist in planning, implementing, monitoring and evaluating programmes

  • Ensure programmes remain effective and aligned with The Salvation Army's mission and vision

WORKING HOURS

Operates 7 days a week with regular evening activities - flexibility is essential.

Part-Time (24 hrs per work week):

  • Tuesday to Friday: 10am-3pm (5 hrs/day)

  • 4 hours on one weekend day

  • Schedule may be adjusted with the Programme Manager (Sojourn)

  • Evening, weekend & public holiday work may be required based on programme needs.
