Job Description
Team & Operational Support
- Provide comprehensive administrative support to senior team members, including managing schedules, coordinating meetings, organising travel, and handling expense processes for the regional lead.
- Oversee the planning and execution of internal team activities such as retreats, regional gatherings, staff engagement sessions, and other key events.
- Maintain an accurate, forward-looking calendar that reflects major communications, internal milestones, and regional priorities, ensuring alignment with other global teams when needed.
- Prepare briefing materials, meeting packs, presentation documents, and other content to support effective team operations.
- Build strong working relationships with coordinators and stakeholders across regions to ensure seamless communication and workflow.
Strategy & Planning
- Assist the regional lead in developing and updating the annual workplan, tracking progress through regular check-ins and ensuring deadlines and milestones are consistently met.
Programme & Grant Coordination
- Support the full lifecycle of programme and grant activities by organising meetings, monitoring action items, and ensuring follow-ups are completed on time.
- Work closely with finance and operations partners to ensure proper contract management, payment processing, and vendor coordination, following internal policies and procedures.
- Maintain well-organised documentation and digital records for due diligence, grant monitoring, reporting, and other programme requirements. Manage incoming requests received through email or digital systems.
Budget & Financial Tracking
- Assist with monitoring budgets for regional activities, including events, workshops, and travel. Collaborate with the regional lead and finance partners to ensure accurate tracking and timely updates.
Risk & Compliance
- Proactively identify administrative or operational risks, such as potential delays or missing documentation, and escalate them to the relevant team members. Contribute to a culture of clear communication and collaborative problem-solving.
The Successful Applicant
A successful Programme Coordinator should have:
- Experience in coordinating projects or experience in Executive Assistant support, preferably within the FMCG industry or public sector and not-for-profit environments.
- Strong organisational skills, with the ability to manage multiple tasks effectively.
- Proficiency in project management tools and software.
- Excellent communication and interpersonal skills to liaise with diverse stakeholders.
- A detail-oriented approach, ensuring accuracy in documentation and reporting.
- A collaborative mindset with a focus on achieving team objectives.
