Role Overview
We are looking for a proactive and detail-oriented Production Coordination Manager (PCM) to oversee the end-to-end delivery of diverse events. As the PCM, you will be the primary link between our clients and internal teams, leading a team of Production Coordinators (PCs) to maintain the high standards of execution that define XPS.
Key Responsibilities
1. Project Leadership & Client Relations
Act as the lead point of contact for clients throughout the project lifecycle, from the initial brief to the final close-out.
Mentor and supervise Production Coordinators to ensure every project meets the rigorous standards of XPS.
Direct the financial health of projects by working with PCs to formulate budgets, secure quotations, and monitor costs post-approval.
Collaborate with Technical Managers (Audio, Video, Lighting) to ensure design and technical delivery are perfectly aligned.
Cultivate lasting relationships with clients and vendors, grounded in our core company values.
2. Operational Excellence
Coordinate complex logistics by managing vendor partners, venues, and internal teams in tandem with the various Department Managers.
Mitigate project risks by ensuring PCs provide proactive on-site supervision during setup and teardown.
Drive safety and compliance by supporting the Technical Manager in ensuring all on-ground teams follow health and safety procedures.
Optimize workflows by reviewing and proposing improvements to the project lifecycle in collaboration with the Director.
3. Strategic Documentation
Maintain high documentation standards, overseeing the production of schedules, risk assessments, and method statements by the PC team.
Support technical layouts by working with Technical Managers to produce drawings in Vectorworks or Autodesk AutoCAD as required.
Streamline administration by ensuring all internal payment documents are prepared for timely vendor settlement.
Qualifications and Skills
Experience: 5 to 8 years in technical production with deep knowledge of at least one core discipline (Audio, Video, or Lighting).
Education: Minimally a Diploma in a technical production discipline.
Technical Tools: Proficiency in Microsoft Office suite of programs (Teams, Word, Excel, Outlook) and project management platforms like Monday.com. Proficiency in Vectorworks and Autodesk AutoCAD is highly regarded.
Soft Skills: Exceptional communication, a meticulous eye for detail, and the ability to lead multiple projects with minimal supervision.
Requirements: Must be comfortable working irregular hours and weekends. A Class 3 License is preferred, and a willingness to travel for overseas projects is required.
