Job Summary
A Production Admin ensures smooth manufacturing and facility operations by managing administrative processes, documentation, and compliance. This role supports cross-functional teams and external suppliers to enable efficient, compliant business functions.
Responsibilities
- Source, order, track, and manage inventory levels for indirect production materials, PPE, factory consumables, and office supplies to maintain uninterrupted production support
- Maintain accurate production logs and file SOPs with proper version control to ensure documentation integrity and audit readiness
- Manage physical and digital archives to support ISO and MOM audit compliance
- Generate purchase requisitions (PR/PO), monitor vendor deliveries, verify supplier invoices and employee expense claims to ensure timely and accurate financial administration
- Coordinate with Finance to facilitate prompt payments to suppliers and vendors
- Collaborate with HR to coordinate new hire onboarding logistics, including factory access cards and issuance of safety gear/PPE kits
- Schedule and support local safety inductions and maintain worker attendance and overtime logs for workforce management
- Assist Workplace Safety and Health (WSH) administration by maintaining visitor and contractor security logs and scheduling routine maintenance for factory facilities and office utilities
Preferred competencies and qualifications
- Diploma or GCE A Level / Higher NITEC in Business Administration, Operations Management, or related fields
- 2 to 4 years of administrative experience in manufacturing, precision engineering, or factory environments
- Proven skills in vendor sourcing, PR/PO processing, indirect inventory control, and price negotiation to optimize procurement processes
- Proficiency in Microsoft Office (Excel, Word) and experience with ERP systems such as Syspro to support operational efficiency
- Familiarity with local workplace standards, ISO document control, and MOM Workplace Safety and Health (WSH) guidelines to support compliance efforts
- Fluency in English (spoken and written) to communicate effectively across teams proficiency in Mandarin or other local languages is preferred to liaise with regional suppliers and shop floor workers
- Strong attention to detail, organizational skills, task prioritization in fast-paced environments, and a proactive problem-solving approach to support operational excellence
