Job Description

Job Summary

The Procurement Executive is responsible for managing end-to-end procurement activities for our organization, including sourcing, purchasing, tender management, vendor performance, and inventory control. The role supports facility management categories and works closely with internal stakeholders to ensure timely, cost-effective, and compliant procurement operations.

Job responsibilities:

Procurement & Purchasing Operations

  • Manage the full procurement lifecycle, including Requests for Quotation (RFQ), Purchase Orders (PO), delivery tracking, and procurement documentation.
  • Receive, review, and evaluate Purchase Requisition Forms (PRF) from sites prior to processing orders.
  • Monitor purchasing activities and approve Purchase Orders within the designated approval authority.
  • Ensure timely delivery and collection of goods and services in accordance with operational requirements.

Tender & Sourcing Management

  • Manage tender purchases, including coordination and processing of tender requisitions, tender evaluations, and tender awards.
  • Conduct spend analysis and support strategic sourcing initiatives for selected facility management categories.
  • Drive cost reduction initiatives and continuous improvement of procurement processes.

Stakeholder & Vendor Management

  • Coordinate with internal departments (e.g. Sales, Projects, Accounts) on technical specifications, delivery schedules, collections, and supplier payment matters.
  • Evaluate and monitor vendor performance to ensure service quality, cost competitiveness, and contractual compliance.
  • Attend to site feedback and assist in resolving issues with suppliers and contractors, including follow-up on claims for non-fulfilment of orders or services.

Inventory & Documentation Control

  • Monitor and ensure adequate stock levels for all items in store.
  • Assist with documentation control and procurement system housekeeping to maintain accurate and up-to-date records.

Compliance & Audit Support

  • Support internal audits on procurement-related matters and assist in implementing audit recommendations.
  • Assist in the review, enhancement, and implementation of the Company's purchasing policies and procedures to improve efficiency and compliance.
  • Perform ad-hoc assignments and support duties as assigned by management.

Requirements

  • Diploma or Degree in Supply Chain Management, Business Administration, or a related field.
  • Prior experience in procurement, purchasing, or facilities management preferred.
  • Familiarity with tender processes, vendor management, and inventory control.
  • Detail-oriented with good documentation and organizational skills.
  • Advanced analysis skills and proficient in Microsoft Excel program
  • Sound understanding of purchasing principles and its applications
  • Good time management, resourceful and able to perform under tight deadlines
  • Strong negotiation skills and ability to source widely
  • Independent, resourceful and takes initiative
  • Good communication skills
  • Able to work in a fast pace environment
  • Experience with an ERP is a +.
