Job Description
Job Overview:
We are looking for an experienced and detail-oriented Procurement Executive to join our Singapore team and support regional procurement operations. This role will be responsible for assisting with raw material purchasing, supplier coordination, purchase order management, logistics and shipment arrangements, import/export documentation, and procurement data management.
The successful candidate will work closely with suppliers, logistics partners, and internal stakeholders to ensure timely purchasing and smooth shipment operations. As the role involves regular communication with Chinese-speaking suppliers and regional stakeholders, full bilingual proficiency in English and Chinese, both spoken and written, is required.
Key Responsibilities:
Procurement & Purchasing
Assist with daily procurement activities including RFQs, price comparisons, purchase order (PO) issuance, and order follow-ups.
Coordinate with suppliers to obtain quotations, confirm pricing, negotiate where required, and follow up on order status.
Monitor purchase orders and delivery schedules to ensure timely fulfilment.
Maintain accurate records of purchasing activities, pricing, and supplier information.
Support raw material purchasing activities and regional procurement requirements.
Logistics & Import/Export Coordination
Coordinate shipment arrangements with suppliers, freight forwarders, and logistics partners.
Check shipping and import/export documentation for accuracy and completeness.
Follow up on shipment status, cargo movements, and delivery schedules.
Support export declaration and customs clearance processes.
Assist with import and export documentation and resolve shipment-related issues where required.
Liaise with relevant parties to ensure smooth and timely shipment operations.
Data Management & Reporting
Maintain procurement tracking sheets, price records, shipment reports, and other operational databases using Microsoft Excel.
Track purchasing activities, supplier pricing, shipment status, and delivery information.
Prepare regular and ad hoc procurement and shipment reports.
Ensure procurement data and records are accurate, complete, and up to date.
Analyze and organize procurement information to support operational and management needs.
Supplier & Records Management
Maintain and update the supplier database and procurement records.
Develop and maintain good working relationships with suppliers and external partners.
Ensure proper filing and documentation of purchase orders, quotations, invoices, shipping documents, and other procurement records.
Maintain confidentiality of sensitive supplier, pricing, and commercial information.
Cross-Functional Coordination
Work closely with internal teams, suppliers, freight forwarders, and other external partners to coordinate procurement and logistics activities.
Follow up on outstanding matters and ensure timely resolution of procurement and shipment issues.
Support other procurement, supply chain, and operational projects as assigned by Management.
Requirements:
Minimum 3 years of relevant experience in procurement, supply chain, logistics, or a related field.
Bilingual proficiency is required.
Good understanding of import/export processes, customs clearance, shipping documentation, and logistics operations.
Proficient in Microsoft Excel, with strong skills in managing tracking sheets, pricing records, and shipment reports.
Strong organizational and time-management skills with excellent attention to detail.
Independent, responsible, diligent, and able to work under pressure.
Strong follow-up and coordination skills with the ability to manage multiple tasks simultaneously.
Able to adapt and work effectively in a fast-paced and regional working environment.
High level of confidentiality, integrity, and trustworthiness, with the ability to handle sensitive commercial and supplier information.
