The Executive, Procurement is responsible for supporting procurement operations for the Company's Air-Conditioning and Mechanical Ventilation (ACMV) and Facilities Management services businesses. The role ensures the timely sourcing, purchasing, and delivery of materials, equipment, and services in accordance with operational requirements, project specifications, company policies, and regulatory standards.
This position works closely with project managers, engineers, facilities teams, finance, vendors, and other internal stakeholders to ensure cost-effective procurement and smooth coordination of purchasing activities to support business objectives.
Roles and Responsibilities:
- Source and obtain quotations from approved suppliers and vendors for Air-Conditioning and Mechanical Ventilation (ACMV) and Facilities Management services
- Evaluate quotations based on price, quality, technical compliance, and delivery schedule
- Prepare and process purchase orders, ensuring accuracy of pricing, quantities, and contractual terms
- Coordinate with project managers, engineers, and facilities teams on material and service requirements
- Monitor delivery schedules to ensure timely supply of materials and services to sites
- Follow up with suppliers on order confirmations, shipment status, and discrepancies
- Support procurement of ACMV equipment, spare parts, maintenance materials, and subcontracted services
- Maintain proper procurement documentation and records in accordance with company procedures
- Assist in vendor evaluation, onboarding, and performance monitoring
- Support cost comparison, budget tracking, and procurement reporting
- Ensure procurement activities comply with company policies, contractual obligations, and relevant regulations
- Coordinate with Finance on invoice verification and payment matters
- Comply with workplace safety requirements and company policies
Requirements:
- Diploma / Degree in Business Administration, Supply Chain Management, Procurement, Engineering, or related fields
- Minimum 2-5 years of relevant working experience in procurement or purchasing
- Experience in Air-Conditioning and Mechanical Ventilation (ACMV), engineering, building services, or Facilities Management environments will be advantageous
- Good understanding of procurement processes and vendor management
- Proficient in Microsoft Office applications experience with ERP systems will be an advantage
- Strong organisational skills with attention to detail
- Able to work independently and collaboratively in a team environment
- Demonstrates clear communication and coordination skills
- Shows integrity, accountability, and professionalism in handling procurement matters
