Roles & Responsibilities
1. Job Summary
To handle Procurement from overseas and local and handle customer queries for procurement.
2. Key Responsibilities
Stakeholder Engagement & Requirements Mapping
- Partner with Departments: Act as a strategic partner to the various departments to understand and document their specific procurement needs
- Technical Specifications: Translate operational requirements into clear, high-quality technical specifications to ensure vendors provide accurate quotes
- Communication Hub: Serve as the primary liaison between internal departments and vendors to resolve queries, clarify requirements, and manage delivery expectations
Strategic Sourcing & Negotiation.
- Market sourcing: Identify and evaluate a robust network of vendors capable of meeting the unique operational demands of professional sports and events
- Negotiation: Negotiate pricing, contract terms and service level agreements (SLAs) to ensure the Association receives maximum value for money
- Vendor Performance: Conduct regular assessments of vendors performance in collaboration with user departments to maintain high standards of quality and cost-efficiency
Tender & Request Management (ITQ/RFP)
- Competitive Bidding: Lead the performance of formal tender requests, including the preparation of Invitation to Quote (ITQ) and Request for Proposal (RFP) documentation
- Evaluation Leadership: Facilitate the analysis of bids, ensuring the 3-quotation rule is strictly followed and justifications for selection are clearly documented
Procurement Operations & Financial Compliance
- Process Management: Oversee the end-to-end processing of Purchase Requisitions (PR) and Purchase Orders (PO) with precision and speed
- Governance Oversight: Verify that all procurement activities strictly comply with FAS Financial Regulations and internal multi-level approval frameworks
- Audit Excellence: Maintain meticulous documentation of the entire procurement lifecycle to ensure a clean and defensible audit trail at all times
3. Requirements
- Bachelor's Degree or Diploma in Supply Chain Management, Business Administration, Finance, or a related field
- 2-5 years of experience in procurement or supply chain management. Experience within the renovation, is an advantage
- Deep understanding of financial governance and the ability to uphold strict 3-quote and approval policies
- Proven ability to influence and collaborate with diverse internal and external stakeholders
- Proficiency in Microsoft Office
- High level of integrity, detail-oriented, and the ability to thrive in a fast-paced, event-driven environment
