Job Type: Full Time, On Site

Salary: S$2800 - S$3500

Key Responsibilities

1. Procurement Support (45%)

  • Process and issue purchase orders (POs) asdirected.
  • Liaise with approved suppliers to place ordersand track delivery timelines to prevent delays.
  • Assist the Manager in sourcing materials and gathering quotes from potential suppliers.
  • Maintain and manage all procurement documentation, including POs, and supplier communications.
  • Assist in tracking procurement expenditures to support budget monitoring and help gather data for cost analysis.

2. Logistics Coordination (30%)

  • Coordinate the logistics of all incoming andoutgoing shipments through various means (3PL, Lalamove, etc.)
  • Request and collate quotations from shippingcompanies for review by management.
  • Assist with the end-to-end process of incomingand outgoing documentation (eg: Invoices, Delivery Orders, Packing Lists), working closely with production and warehouse.
  • Handle routine shipment-related queries andescalate complex issues or discrepancies to the Manager.
  • Prepare and coordinate logistics for companyevents and roadshows.

3. Administration, Events & Office Management (25%)

  • Monitor office supplies, stationery, and pantry inventory, and handle replenishment.
  • Track the expiry of company contracts and licenses and prepare renewal paperwork.
  • Assist with running roadshows, when rostered (May occur on weekends, based on a rotational roster, up to twice a month).
  • Liaise with external service providers and vendors for office and production-related matters.
  • Provide basic IT support such as setting up laptops or printers etc, referring to external service provider for assistance if needed.
  • Provide basic HR admin support such as documentation for work permit application and renewal.

Qualifications and Requirements

Education & Experience

  • Education: Diploma or Degree in Business Administration,Logistics, Supply Chain Management, or a related field.
  • Experience: Minimum 3 years of relevant experience in ahands-on operations, logistics, procurement, or administrative role.

Technical Skills

  • MS Office Proficiency: Strong command of Microsoft OfficeSuite, particularly in Excel for tracking, reporting, and analysis.
  • ERP/Systems Knowledge: Experience with ERP systems (e.g.,SAP, Oracle, NetSuite) or other procurement/inventory management software is highly advantageous.
  • Logistics Documentation: Working knowledge with shipping andcustoms documentation (e.g., invoices, packing lists, Bill of Lading, Air Waybills).

  • Organizational Skills: Exceptional organizational andtime-management skills with a proven ability to manage multiple priorities andmeet deadlines.
  • Attention to Detail: Meticulous and detail-oriented, with afocus on accuracy in documentation and data entry.
  • Communication: Strong written and verbal communicationskills for effective liaison with suppliers, vendors, and internal teams.
  • Problem-Solving: Proactive and resourceful with the abilityto identify and resolve routine operational issues independently.
  • Teamwork & Independence: Capable of working effectivelyboth independently with minimal supervision and collaboratively as a supportive team member.
  • Flexibility: A hands-on, can-do attitude withthe flexibility to adapt to changing priorities.

Other Requirements

  • Willingness to work on weekends occasionally for events androadshows (on a rotational roster basis).
