  • This position is forOffice of Campus Infrastructure and Services (OCIS).
  • Undertake the day-to-day Project Management of development projects in the capacity of owner's representative during the pre-construction, construction and post construction stages.
  • Manage the contracts administration of new construction and A&A/minor improvement projects, and any other ad-hoc tasks.
  • Act as project representative while handling the progress and technical discussions/meetings with users, internal and external stakeholders like project consultants, contractors, agencies and others related parties.
  • Assist in the technical reviews of consultant's proposals and contractor works.
  • Track and guide the consultants and contractor on safety, quality and budget in each stage of project.
  • Track the construction progress and verify contractors completed works and all other aspects of project management for successful delivery of the project.
  • Ensure the project-related procurements are verified based on the requirement and ensure it is ordered and delivered on time.
  • Ensure the contractors works are executed according to the approved design, to achieve a smooth handing over to the users.
  • Devise a communication plan and update the reports and other communications periodically throughout the project progress.
  • Organize and maintain all project documentation and maintain good record for project administration and auditing purposes.
  • Collaborate with cross-functional teams including facility managers, IITS, administrators, and academic staff, to achieve common goals and to develop and implement the undertaken projects successfully.
  • Upon completion of each phase, work closely with internal teams such as SPM and FMS teams to ensure that documentation is completed and handed over.
  • Support the Lead in preparing reports and updates for senior leadership including summarizing feedback, concerns, and progress in addressing stakeholder needs.
  • Maintain accurate records of consultant and contractor interactions, meetings, and correspondence for reference and transparency.
  • Ensure documentation of project management processes, space planning efforts, and steering committee decisions.
  • Proactively identify potential risks or concerns and timely address conflicts that could impact stakeholder relationships or project progress and develop strategies to mitigate these issues.
  • Implement best practices in project management to ensure that the project is run optimally.
  • Other duties as assigned.

Qualifications

  • Degree (or higher) Project Management, Interior design, civil engineering, construction/ Project management or other building related fields, with a minimum of 5 to 7 years of experience in Project Management and management of multi-disciplinary teams (architects, engineers, contractors), contractor liaison.
  • Ability to lead and motivate teams, manage projects, and work effectively with diverse stakeholders.
  • Excellent written and verbal communication skills, with the ability to present information clearly and persuasively.
  • Ability to build strong relationships with a wide range of stakeholders, including internal and external parties.
  • Ability to manage projects from start to finish, including planning, budgeting, and implementation.
  • Ability to identify and resolve problems effectively, while staying calm under pressure.
  • Ability to analyze data, identify trends, and make informed decisions.
  • Familiar / usage of project management tools.
  • Prior experience with space management software (Planon, AutoCAD) would be an advantage.
