The Centre Administrator plays a pivotal role in ensuring the smooth day-to-day operations of our preschool. You will be the trusted partner to the Centre Principal and leadership team, providing essential support in financial, operational, and administrative matters that enable educators to focus on what they do best-nurturing children.
What You'll Do
- Ensure compliance with all legal, licensing, and company policies to uphold the highest operational standards.
- Provide accurate and timely information on school fees, programmes, and enrolment matters to parents.
- Maintain and manage children's records through e-filing systems to ensure accuracy and confidentiality.
- Work closely with the Head of School and HQ teams to streamline centre operations.
- Liaise with vendors and contractors to ensure safety, cleanliness, and hygiene of the centre.
- Take charge of centre administration, including:
ECDA CMS
Taidii System
Expense reports
Grants and subsidies
Fee payments
Invoice and bill verification
Procurement and purchasing
Maintenance coordination
Your Responsibilities
- Coordinate new child admissions, enrolment documentation, and payments.
- Support the submission of reports, applications for subsidies/grants, and withdrawals while ensuring proper record-keeping.
- Accurately update new student information into CMS and Taidii systems.
- Partner with the Finance team on collections, invoicing, and reconciliation.
- Manage procurement needs for the centre-from teaching resources to daily essentials-by raising purchase orders.
What We're Looking For
- Minimum O-Level qualification in administration or related discipline, with at least 2 years of relevant experience.
- Strong interpersonal skills with the ability to communicate constructively with colleagues, parents, and external partners.
- Good written and verbal communication skills in English.
- Highly motivated, detail-oriented, and able to multitask in a fast-paced environment.
- Adaptable and resourceful, with strong time management skills.
- Familiarity with ECDA requirements will be a distinct advantage.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
