Job Description
We are looking for a Portfolio Executive to assist in the daily operations and management of residential and/or commercial properties. You will support the Portfolio Manager in ensuring that properties are well-maintained, residents are well-served, and operations are compliant with relevant regulations.
Key Responsibilities
- Assist in overseeing the day-to-day operations of assigned properties or estates
- Conduct regular site inspections to ensure upkeep of facilities and infrastructure
- Attend to residents and owners feedback, complaints, and queries professionally
- Coordinate repair, maintenance, and project works with contractors and vendors
- Obtain and evaluate quotations for works and services
- Prepare meeting notices, minutes, and assist in organizing Council Meetings and AGMs
- Maintain documentation such as service reports, defect logs, and correspondence records
- Ensure compliance with building regulations and statutory requirements
- Support in preparing monthly reports and tracking budgets or arrears
Job Requirements
- Education: Diploma in Real Estate, Facilities Management, Building Services, or related field
- Experience: 1-3 years in a property management or facilities-related role preferred
- Skills:
Strong communication and interpersonal skills
Good organizational and multitasking ability
Proficient in Microsoft Office (Excel, Word, Outlook)
Ability to work independently and as part of a team
Additional Information
- Working Hours: Monday to Friday (Office hours), occasional weekends for meetings (with time off in lieu)
- May require travel to multiple sites
- Candidates with more experience may be considered for Senior Executive role
