About the Role
We are seeking a highly professional, discreet, and resourceful Personal Assistant (PA) to support the daily and long-term needs of an Ultra High Net Worth (UHNW) individual and family office. The PA will act as the central point of coordination for personal, and family matters, ensuring seamless operations and protecting the privacy and confidentiality of the family.
Key Responsibilities
- Diary & Schedule Management: Organize and manage the family's calendar, appointments, and private engagements.
- Travel & Logistics: Coordinate international and domestic travel arrangements, including flights (commercial & private jet), accommodations, visas, and itineraries.
- Household & Lifestyle Management: Liaise with household staff, vendors, and service providers to ensure smooth day-to-day operations across residences.
- Event Coordination: Plan and oversee private events, functions, and social engagements.
- Administration & Documentation: Maintain records, handle correspondence, and manage confidential information with utmost discretion.
- Financial Support: Assist with expense tracking, invoice management, and liaising with accountants or family office representatives.
- Property Oversight: Coordinate maintenance, renovation, and property-related matters.
- Discretion & Confidentiality: Handle all personal and family matters with absolute confidentiality and professionalism.
Key Requirements
- Minimum 8 years experience as a Personal Assistant, Executive Assistant, or similar role
- Previous experience in supporting UHNW individuals, family offices, or C-suite executives, is an added advantage.
- Exceptional discretion, trustworthiness, and ability to handle sensitive information.
- Strong organizational and multitasking skills, with a proactive, solutions-oriented approach.
- Flexibility to travel regionally and work outside standard office hours when required.
- Excellent communication skills in English (Mandarin and/or Malay a plus).
- Tech-savvy (Microsoft Office, calendar systems, travel apps).
- Professional appearance, high emotional intelligence, and ability to adapt to a dynamic environment.
