Manage the Executive Vice President's calendar, appointments, and meetings.
Prepare, review, and format presentations, reports, meeting materials, and correspondence.
Arrange and coordinate business travel, including flights, accommodation, visas, and itineraries.
Prepare travel schedules and follow up on travel claims and expense submissions.
Liaise with internal teams across the region to coordinate meetings, collect updates, and track follow-up actions.
Support the preparation of management meetings, conferences, including meeting agendas, minutes, and action items.
Maintain proper filing systems for documents and records, in both digital and physical formats.
Support document control, approvals, and version tracking.
Handle confidential and sensitive information with due care and discretion.
Other ad-hoc duties assigned by the managements.
Job Requirements
Bachelor's degree and above in Business Administration, Business Management, or a related discipline.
At least 3 years of relevant experience in a Personal Assistant, Executive Assistant, or similar administrative support role. Experience in supporting senior management or regional leadership will be an advantage.
Good organizational, coordination, and time management skills, with attention to detail.
Able to work independently, manage multiple tasks, and meet deadlines in a fast-paced environment.
Good written and spoken communication skills.
Able to handle confidential information with professionalism and discretion.
Experience in a multinational or matrix organization will be an advantage.
Proficiency in English and Mandarin is required to communicate and coordinate with English- and Mandarin-speaking stakeholders in the course of work.
