Job Summary
We are seeking a HR Specialist to manage end-to-end HR operations and employee lifecycle activities across Singapore, Malaysia, China and Taiwan. You will collaborate with the HR Manager and internal stakeholders to ensure compliant, efficient, and employee-centric HR processes.
Responsibilities
- Coordinate onboarding and offboarding activities by managing checklists, documentation, access requests, briefings, and exit procedures to ensure smooth employee transitions.
- Prepare standard HR letters such as confirmations, contract changes, and internal transfers using approved templates to maintain consistency and compliance.
- Maintain accurate and audit-ready employee records, trackers, and HR files through digital filing and document control to support HR operations.
- Administer leave requests, generate HR reports, and provide daily HR support to facilitate operational efficiency.
- Manage recruitment logistics including job postings, interview scheduling, candidate communication, and documentation to streamline hiring processes across Singapore, Malaysia, China and Taiwan.
- Maintain recruitment trackers and collaborate with hiring managers to ensure timely and effective recruitment workflows.
- Assist in resume screening and shortlisting under the guidance of the HR Manager or Hiring Manager to support talent acquisition.
- Coordinate monthly payroll inputs such as new hires, resignations, changes, claims, and leave data, validating accuracy and completeness to support payroll processing.
- Support benefits enrollment, employee claims, reimbursements, and vendor coordination to ensure employee satisfaction and compliance.
- Escalate payroll, benefits exceptions, and compliance issues promptly to the HR Manager to mitigate risks.
- Serve as the first point of contact for routine HR inquiries related to policies, leave, claims, onboarding, and benefits, providing timely and accurate information.
- Support initial employee relations issue triage and escalate complex matters to the HR Manager to maintain a positive work environment.
- Administer HRIS and ATS systems by updating data, managing access, troubleshooting basic issues, and generating reports to enhance HR technology utilization.
- Identify recurring HR process issues and propose practical improvements to reduce turnaround time and enhance employee experience.
- Support HR documentation and workflows in compliance with local regulations and practices across Singapore, Malaysia, China and Taiwan, ensuring audit readiness and organization.
Requirements
- Diploma or Bachelor's degree in Human Resources, Business, or a related field.
- 2-3 years of experience in HR operations, HR administration, or HR generalist support.
- Strong attention to detail, confidentiality, and follow-through in managing HR tasks.
- Ability to support multiple countries and collaborate with diverse stakeholders and vendors.
- Strong written and verbal communication skills.
- Proficient in English and Chinese (written and spoken) to coordinate effectively with overseas agents and internal Chinese-speaking teams.
