Personal Assistant to Director

Job Summary

Provide comprehensive administrative and secretarial support to a Director managing diverse businesses. Coordinate schedules, travel, communications, and projects to ensure efficient operations across multiple business units in a fast-paced environment.

Responsibilities

  • Deliver comprehensive secretarial and administrative support to the Director to enable effective management of diverse business portfolios
  • Manage and coordinate the Director's daily schedules, appointments, and meetings to optimize time and priorities
  • Arrange detailed travel itineraries, accommodation, and logistics to ensure smooth business trips
  • Liaise proactively with internal teams and external stakeholders to facilitate communication and collaboration across businesses
  • Track project progress, deadlines, and follow-ups to support timely completion of initiatives
  • Prepare clear and professional reports, presentations, and business correspondence to support decision-making
  • Handle confidential information with strict discretion to maintain trust and professionalism
  • Support operational and administrative tasks across various business units to enhance workflow efficiency
  • Perform ad hoc duties and personal errands as assigned to assist the Director's needs

Required competencies and certifications

  • Diploma or Degree in Business Administration or related field
  • Minimum 3-5 years of experience as a Personal Assistant or Executive Assistant supporting senior management
  • Demonstrated strong organizational and time management skills to handle multiple priorities effectively
  • Excellent verbal and written communication skills to convey information clearly and professionally
  • Ability to multitask and work independently with minimal supervision
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) to produce business documents and presentations
  • High level of integrity, discretion, and professionalism in handling sensitive information
