Job Summary

The Personal Assistant to Director provides high-level administrative, operational, and coordination support to the Company Director. The role is responsible for managing the Director's daily schedule, facilitating communication across internal and external stakeholders, and ensuring efficient execution of business and administrative tasks. The position requires strong organizational skills, discretion, and the ability to work in a fast-paced, multi-business environment.

Key Responsibilities

1. Calendar & Schedule Management

  • Manage and maintain the Director's daily calendar, including meetings, appointments, and travel schedules

  • Coordinate and prioritize appointments to optimize time efficiency

  • Monitor deadlines and provide timely reminders

2. Communication & Correspondence

  • Screen and manage incoming calls, emails, and messages on behalf of the Director

  • Draft, review, and respond to correspondence in a professional manner

  • Liaise with internal teams, clients, and external stakeholders

3. Meeting Coordination & Follow-Up

  • Schedule and coordinate meetings, including preparation of agendas and materials

  • Record meeting minutes and track action items

  • Follow up with relevant parties to ensure timely execution of tasks

4. Travel & Logistics Arrangements

  • Plan and coordinate business travel, including flights, accommodation, and transport

  • Prepare travel itineraries and ensure all necessary documents are in order

5. Administrative Support

  • Prepare reports, presentations, and documents as required

  • Maintain organized filing systems for both physical and digital records

  • Assist with basic documentation such as invoices, contracts, and internal reports

6. Project Coordination

  • Assist in monitoring and coordinating ongoing projects across departments

  • Track progress and provide regular updates to the Director

  • Ensure deadlines and deliverables are met

7. Confidentiality & Compliance

  • Handle sensitive and confidential information with a high level of discretion

  • Ensure compliance with company policies and relevant regulations

8. Personal & Ad Hoc Support

  • Assist with personal scheduling and errands when required

  • Perform any other duties as assigned by the Director

Requirements

Education

  • Diploma or Degree in Business Administration, Management, Communications, or a related field or equivalent

Experience

  • Minimum 2-3 years of relevant experience as a Personal Assistant, Executive Assistant, or in a similar administrative role
  • Experience supporting senior management or directors is preferred

Skills

  • Strong organizational and time management skills

  • Excellent written and verbal communication skills in English

  • Proficiency in Microsoft Office and/or Google Workspace

  • Ability to multitask and prioritize effectively

  • Strong attention to detail and problem-solving abilities
