The Personal Assistant will provide high-level executive and organisational support to the Founder, ensuring smooth
coordination across business operations, social enterprise initiatives, regional expansion projects, and daily administrative workflows.
This role requires strong organisational skills, confidentiality, emotional maturity, and the ability to anticipate the Founder's needs in a fast-moving and purpose-driven environment.
Key Responsibilities
1. Executive & Administrative Support
- Manage the Founder's calendar, meetings, and appointments.
- Prepare agendas, minutes, briefing notes, and follow-up actions.
- Draft emails, letters, WhatsApp messages, and reports on behalf of the Founder.
- Maintain strict confidentiality at all times.
2. Operations & Cross-Team Coordination
- Coordinate across departments (HR, Finance, Operations, Digital Marketing, Malaysia team, Indonesia team, etc.).
- Track deadlines and deliverables for proposals, tenders, and partnership documents.
- Assist in compiling project updates from various teams.
3. Travel & Logistics Management
- Organise travel itineraries, flights, accommodation, and meeting schedules.
- Prepare travel packs and documents for regional trips (e.g., Indonesia, Malaysia, Philippines).
- Ensure all logistics are arranged smoothly and efficiently.
4. Stakeholder Communication & Engagement
- Serve as a professional point of contact for partners, government agencies, donors, foundations, and vendors.
- Coordinate follow-ups, reminders, and communication flows.
- Represent the Founder respectfully and professionally in all interactions.
5. Document Preparation & Information Management
- Maintain well-organised digital documentation and filing systems.
- Prepare presentations, proposals, summaries, and briefing materials.
- Ensure the Founder has updated information for decision-making.
6. Special Projects Support
Assist the Founder in high-impact initiatives, including:
- Indonesia expansion (PT Agape)
- Prison call centre partnerships
- Training and employment programmes
- Social enterprise and community impact projects
- Grant proposals and partnership MOUs
Provide research, coordination, and follow-through as required.
Requirements
Qualifications
- Diploma or Degree preferred, but strong experience is valued.
- 3-5 years experience as a PA, Executive Assistant, or senior admin support role.
