Purpose of the Role
The incumbent delivers proactive administrative, organisational, and operational support to the Head of Enterprise Culture and the Singapore-based HR leadership team. This role ensures smooth day-to-day management of administrative and HR operations, including calendar management, travel and expense coordination, workshop and event support, and basic HR-related tasks, with an agile and can-do mindset to anticipate and address team needs.
What you will do includes:
Executive Support
- Provide dedicated support to the Head of Enterprise Culture, including calendar management, meeting coordination, travel arrangements, and processing expense claims via Concur.
- Prepare agendas, meeting materials, presentations, and minutes, and coordinate schedules and logistics for executive and team meetings.
- Provide on-site administrative support as needed.
- Support the leader across different time zones during travel or virtual meetings.
HR Operations & Administrative Support
- Provide shared administrative support to Singapore-based HR leaders, including travel arrangements, expense claims.
- Support HR operational processes such as invoice processing, raising quotations and PRs, and vendor coordination.
- Assist in preparing materials for HR programs, workshops, and internal communications.
Workshop & Event Coordination
- Coordinate logistics for HR workshops, leadership sessions, and team events.
- Support execution of employee engagement activities or HR initiatives.
- Assist in preparing professional presentation decks, slides, and visual materials.
Project & Reporting Support
- Contribute to ad hoc HR and operational projects as required.
- Support basic HR data analytics and reporting; prepare summaries, dashboards, or slides as needed.
- Maintain confidentiality when handling sensitive HR or leadership information.
Mandatory Compliance Requirements
- Be aware of Astellas Group Code of Conduct, policies, procedures, and applicable laws or regulations.
- Seek guidance or raise concerns in a timely manner to the relevant manager, including escalation to Ethics & Compliance teams if needed.
- Complete all mandatory Ethics and Compliance training and updates promptly.
- Demonstrate behaviours aligned with Astellas Values & Behaviours, and HR policies.
Required Qualifications
- 1–5 years of relevant experience; fresh graduates are welcome.
- Experience supporting senior management, including calendar, travel management and using Concur expense system.
- Agile, proactive, and solution-oriented mindset; able to take initiative and adapt quickly.
- Strong interpersonal and communication skills; able to work across cultures and regions.
- Flexible to work across different time zones.
- Fluent in written and spoken business English.
Preferred Qualifications
- Basic HR skillset to support operations and analytics.
- Strong Microsoft Office skills (Excel, PowerPoint, Word, Outlook).
- Experience in data analysis, reporting, or material preparation for leadership decks.
- Exposure to coordinating HR programs, workshops, or events.
