Job Summary
We are seeking an experienced Payroll Specialist to manage end‑to‑end payroll operations across six Southeast Asia countries-Singapore, Malaysia, Vietnam, Philippines, Indonesia, and Thailand. The role requires strong hands-on experience in multi-country payroll processing, statutory compliance, bank file creation, and payroll system administration, ensuring accuracy, compliance, and timely payroll delivery.
Key Responsibilities
Payroll Operations
- Process end-to-end payroll accurately and on time for employees across six SEA countries.
- Manage payroll calendars, cut-off dates, and payment schedules for each country.
- Prepare, validate, and submit bank files for salary payments and statutory contributions.
- Handle payroll inputs such as new hires, leavers, salary revisions, bonuses, allowances, incentives, and deductions.
Statutory & Compliance
- Ensure full compliance with local payroll legislation and statutory requirements, including but not limited to:
Singapore: CPF, SDL, IR8A / IR21
Malaysia: EPF, SOCSO, EIS, PCB
Vietnam: Social, Health & Unemployment Insurance
Philippines: SSS, PhilHealth, Pag‑IBIG, BIR
Indonesia: BPJS Ketenagakerjaan & BPJS Kesehatan
Thailand: Social Security Fund (SSF), PIT
- Prepare and submit statutory reports and filings within local deadlines.
- Support year‑end payroll activities, audits, and tax filings.
Payroll Systems & Data Management
- Maintain and administer payroll software systems (e.g., SAP, Workday, ADP, PayAsia, Ramco, or similar).
- Ensure payroll master data accuracy and integrity.
- Partner with HRIS, Finance, and external vendors to resolve discrepancies.
- Participate in payroll system upgrades, implementations, or process automation initiatives.
Stakeholder Support
- Act as a key payroll point of contact for HR, Finance, banks, vendors, and employees.
- Resolve employee payroll queries in a timely and professional manner.
- Support internal and external payroll audits by providing required data and documentation.
Required Qualifications & Experience
- 5-8 years of payroll experience, with hands-on multi-country payroll exposure.
- Proven experience managing payroll for SEA countries, specifically: Singapore, Malaysia, Vietnam, Philippines, Indonesia, and Thailand.
- Strong working knowledge of bank file creation and payment processing.
- Solid understanding of statutory contributions, tax regulations, and labor laws in SEA.
- Experience working with payroll systems and HRIS platforms.
- High attention to detail with strong data accuracy and reconciliation skills.
- Ability to manage multiple payroll cycles and deadlines concurrently.
Preferred Skills & Attributes
- Experience supporting payroll for medium to large employee populations across multiple entities.
- Prior experience working in regional HR Shared Services or MNC environments.
- Strong Excel skills (VLOOKUP/XLOOKUP, Pivot Tables, formulas).
- Excellent communication and stakeholder management skills.
- Ability to work independently and handle sensitive/confidential information.
Education
- Bachelor's degree in Human Resources, Accounting, Finance, or related field.
- Payroll or HR certifications are an added advantage.
