Key Duties and Responsibilities
- Provide patient-facing support to medical practitioners by coordinating consultations, treatments, and follow-up care, ensuring a smooth and professional patient journey.
- Perform clinic operations and administrative management, including patient registration, appointment scheduling, billing coordination, financial counselling on treatment plans, insurance and Medisave-related administrative processes, and stock coordination in accordance with clinic protocols.
- Act as a primary point of contact for patient enquiries and service-related communications, responding to and following up on enquiries received via telephone, email, digital platforms, and in-person interactions in a professional and service-oriented manner.
- Support patient acquisition and retention initiatives by managing patient communications related to clinic services, promotions, and follow-ups, aligned with approved marketing and service strategies.
- Maintain, update, and manage a computerised patient and prospect database, ensuring data accuracy, confidentiality, and compliance with healthcare and data protection requirements.
- Assist in planned marketing and patient engagement initiatives by supporting outreach activities, patient surveys, feedback collection, and service improvement efforts.
- Conduct basic market awareness activities, including competitor monitoring and patient feedback analysis, to support service positioning and patient experience enhancements.
- Demonstrate strong product and service knowledge across aesthetic and medical offerings in order to accurately explain treatment options, processes, and post-treatment care requirements to patients.
- Support internal coordination between doctors, therapists, and operations teams to ensure effective clinic workflow and service delivery.
- Carry out additional operational, coordination, and administrative responsibilities as assigned, consistent with the scope of the role.
Requirements
- Diploma or Degree in Healthcare Administration, Business, Hospitality Management, or related discipline
- Relevant experience in healthcare, medical aesthetics, hospitality, or premium service environments
- Professional communication skills with strong interpersonal awareness
- Comfortable working in a regulated medical environment with high confidentiality standards
- Proficient in administrative systems and documentation
- Able to work rotational shifts including weekends, where required
