We're hiring a detail-oriented, client-first team member to support our lawyers and operations. This hybrid role combines paralegal support, administrative coordination, and front-line client communication. You'll help keep matters moving, ensure documents are organized, and make sure clients feel guided and supported at every step.
- Respond to inbound enquiries via phone/WhatsApp/email route to the right team
- Conduct basic first-level intake: capture key facts, urgency, and documents required
- Manage client WhatsApp groups: keep threads organized, summarize requests, and escalate urgent issues
- Provide clear updates to clients follow up on outstanding items and next steps
- Coordinate appointments/consultations send confirmations and reminders
- Assist with document preparation: formatting, proofreading, and version control
- Prepare standard templates (letters/checklists/simple forms) under supervision
- Compile, paginate, and organize bundles for court/mediation and internal review
- Track deadlines and milestones using internal checklists/trackers flag risks early
- Maintain accurate filing and document management (naming, folders, completeness)
- Liaise with external parties for administrative follow-ups as instructed (e.g., courts, vendors)
- Support billing/admin tasks: basic disbursement tracking, invoice follow-ups, and payment coordination
- Support matter opening/closing admin (e.g., file setup, archiving, handover checklists)
- Maintain confidentiality and handle sensitive personal data appropriately
- Follow SOPs and suggest improvements to templates, scripts, and workflows
- Diploma or Degree (any discipline) legal studies background is a plus
- 0-1 year experience in admin, customer service, or legal support (preferred)
- Strong written and spoken English
- Calm, empathetic communicator (comfortable with sensitive family matters)
- Highly organized and able to manage multiple tasks accurately
- Tech-comfortable (Microsoft Office/Google tools WhatsApp-based communication)
- Prior experience in a law firm or professional services environment
- Familiarity with basic legal documentation and filing processes
- Experience using case trackers/CRMs or shared document management systems
