Job Description

  • Open to a job scope covering the support to the Chairman on both his family matters and corporate matters in Singapore and Europe
  • Has extensive exp doing travel arrangements.

Our client is a renowned investment company that specialise primarily in the maritime and logistics sectors. The co is based in town.

The firm is now seeking a highly organized and detail-oriented Personal Assistant to provide top-level administrative support to the Global Chairman (based in Singapore). In this role, you will ensure the smooth functioning of the investment office (boutique sized firm), managing a wide range of responsibilities from coordinating meetings and handling communications to managing confidential matters. You will also serve as the primary point of contact between the Chairman and both internal and external stakeholders, facilitating effective communication and prioritization of tasks.

Key Responsibilities:

  • Manage the Chairman's calendar, organize meetings, and arrange travel. Prepare materials for meetings, presentations, and reports while handling all correspondence to ensure timely responses.
  • Coordinate board meetings and executive events, managing logistics such as venue booking, travel arrangements, and virtual meeting setups.
  • Act as the first point of contact for the Chairman's office, handling inquiries and prioritizing incoming communications to ensure the Chairman is informed of urgent matters.
  • Maintain both physical and digital files, ensuring confidentiality, and draft or edit documents on behalf of the Chairman.
  • Manage sensitive information with discretion, ensuring communications and decisions are properly documented in line with company policies.
  • Assist with special projects, coordinating with departments to ensure timely progress and completion.
  • Act as a liaison between the Chairman and senior management, board members, clients, and other stakeholders to ensure accurate and smooth communication.
  • Handle complex travel arrangements for the Chairman, including international trips, and assist with the organization of corporate events and conferences.
  • Support the Chairman's family with their travel and personal matters, coordinate the renewal of yacht licenses, manage payments for yachts and overseas properties, and liaise with property managers.
  • Take on any ad-hoc duties as assigned to ensure the Chairman's needs are met efficiently.

Job Requirements:

  • Bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • Minimum of 15+ years of EA exp, with min 5 years in a high-level executive support role, preferably supporting C-suite executives in a MNC setting
  • Open to a job scope covering the support to the Chairman on both his family matters and corporate matters
  • Has extensive exp doing travel arrangements across the globe
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), scheduling software, and document management systems.
  • Proven ability to handle confidential information with integrity and professionalism.
  • Excellent written and verbal communication skills.
  • Able to thrive in a fast-paced environment.
  • Excellent organizational and time management skills, with the ability to multi-task and prioritize tasks effectively.
  • High level of accuracy in work, especially in correspondence and document preparation.
  • Ability to anticipate needs and proactively address potential challenges or opportunities.
  • Strong relationship-building skills, with the ability to work collaboratively across different levels of the organization.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • A proactive, flexible and positive attitude with the ability to adapt to changing priorities and deadlines.
  • Open to working outside normal work hours when required
