Role Overview
The Project Executive supports the planning, coordination and execution of healthcare projects across multiple nursing homes. This role acts as a key link between strategy and operations, ensuring that project plans, infrastructure readiness, procurement processes and stakeholder communications are effectively managed. The position oversees cross-functional coordination, tracks KPIs and milestones, supports CST submissions and drives innovation through the adoption of digital tools, robotics and enhanced care models. The Project Executive also manages project documentation, communications materials and operational frameworks to ensure compliance with regulatory, funding and audit standards.
Key Responsibilities
Project Planning & Strategic Execution
- Coordinate multi-site healthcare and nursing home projects, ensuring alignment with internal departments, vendors and government partners.
- Develop project timelines, operational workflows and implementation plans for new and existing facilities.
- Support initiatives under CST and Ageing Asia, including preparation of documentation, submissions, audits and KPI reporting.
- Establish operational frameworks for infrastructure readiness, soft services and integration of digital and care technologies (e.g., Temi robots, telepsychiatry, ACP systems).
Innovation & Compliance
- Integrate structured care models for dementia and psychiatric residents into workflow planning and operational guidelines.
- Evaluate and liaise with solution providers for robotics, engagement platforms and hybrid care models.
- Ensure compliance with MOH masterplans, AIC requirements, SCDF codes and internal governance standards.
- Manage CST documentation, reporting cycles, and partnership renewals with programming and finance teams.
Communications & Stakeholder Engagement
- Develop and curate quarterly newsletters highlighting program initiatives, resident engagement and interfaith collaborations.
- Support content development for Annual Reports, including narratives, statistics, donor acknowledgements and operational summaries.
- Maintain brand consistency across digital platforms, outreach materials and engagement campaigns.
- Liaise with grassroots leaders, agencies, donors and interfaith partners to strengthen program visibility and sustainability.
Budgeting, Forecasting & Procurement
- Assist in developing budgets and rolling forecasts for nursing home projects.
- Support procurement processes such as drafting specifications, reviewing quotations and preparing documentation in accordance with finance and audit guidelines.
- Identify opportunities for resource optimization and cost efficiencies.
Secretariat & Administrative Oversight
- Maintain complete records of project submissions, SOPs, compliance documents and meeting minutes.
- Monitor KPIs, progress trackers, and project milestones escalate risks and gaps to relevant leads.
- Provide secretariat support for management meetings, community dialogues, working groups and stakeholder briefings.
Additional Duties
- Support community engagement activities (e.g., Chill-Out Engagements), staff training initiatives and resident service audits.
- Assist in preparing visuals, presentations, and slide decks for board sessions, donor events and partnership meetings.
- Carry out any other tasks assigned by the supervisor to support departmental and organizational goals.
