Job Overview:
Our client, a trading company based in Singapore, is seeking an Operations Executive to support its international trading activities. The role is responsible for managing end-to-end trade documentation, coordinating with shipping lines and logistics partners, and ensuring smooth execution of cross-border shipments. This role plays a key part in supporting the company's global trading operations across multiple regions.
Key Responsibilities:
- Handle and manage various trade documents, including Letters of Credit (LC), Bills of Lading (B/L), Certificates of Origin, packing lists, and commercial invoices
- Coordinate with shipping lines, freight forwarders, and logistics partners to ensure timely and accurate delivery of goods
- Review trade contracts, sales agreements, and purchase orders to ensure accuracy and compliance
- Communicate and coordinate with internal teams and external counterparties regarding documentation discrepancies and settlement matters
- Track shipment progress and proactively resolve operational issues during transit
- Maintain accurate records of trade transactions and related documents in internal systems
- Assist in handling LC issuance, amendments, and discrepancies, and liaise with banks when required
- Ensure all trade operations comply with relevant regulations, sanctions screening requirements, and internal company policies
- Manage daily international trade operations and follow-ups, covering clients across South America, Europe, and other regions, while maintaining strong business relationships ordinate across internal departments and China headquarters to ensure smooth communication and workflow
- Adapt to different regional business hours and manage cross-time zone coordination effectively
- Prioritise urgent and important emails to ensure timely response and resolution of key matters
Job Requirements:
- At least 2 years of experience in trade operations or trade documentation handling
- Familiar with shipping documents such as Bills of Lading, Letters of Credit, and Certificates of Origin
- Good understanding of international trade terms (Incoterms) and global trade practices
- Proficient in Microsoft Excel and relevant trade systems
- Strong attention to detail and ability to work under tight deadlines
- Ability to work effectively with internal teams and headquarters across different regions
Work Arrangement:
- Working hours: Monday to Friday, 9:00 AM - 6:00 PM
- Required to attend 1-2 weeks of training at China headquarters upon joining
