We are looking for a motivated Operation Executive who are willing to support us in our daily operations. The Incumbent will assist the team to manage report, documentation and co-ordinate with Client.
Job Purpose
The Operation Executive will support the Reporting Officer (Director/Professional Engineer) in daily operations, including documentation, reporting and client coordination while ensuring professional customer service standards.
Key Responsibilities:
Documentation & Reporting
Assist to create quotations in Xero from email enquiries or existing customer requests.
Assist to book a daily schedule via Google calendar and prepare daily schedule documents.
Generate daily reports and maintain excel worksheets.
Assist in weekly/month end billing.
Handle other administrative tasks as needed.
Client Support
Assist in processing examination certification renewals in the Ministry of Manpower (MOM) system.
Ensure timely responses to customer enquiries.
Assist to send out documents to customers.
Internal Operations
Coordinate with internal teams to ensure smooth workflow and timely delivery of documents.
Support operational process implementation and continuous improvement initiatives.
Maintain an organized filling system in shared drive and proper record management.
Assist to cover duties if a team member is not around or when required.
Qualifications & Requirements
Minimum good academic results in GCE O Levels, Higher NITEC or Diploma in Business Administration or related discipline with strong literacy in computer skills such as Basic AI and MS Office, in particular in Advanced Excel skills
Strong interest in operational and administrative processes.
Familiarity with AI, Google Workspace and Microsoft Office.
Good written and verbal communication skills.
Positive attitude, willingness to learn, and attention to detail.
