The Operations Executive plays a key role in ensuring a safe, comfortable and positive living environment for dormitory residents. This role requires strong management, communication and problem-solving skills, as well as the ability to manage day-to-day operations encompassing facility maintenance, resident relations, administrative functions and regulatory compliance.
The Operations Executive is responsible for overseeing daily dormitory operations and supporting the Dormitory Manager in maintaining a well-managed, compliant and conducive living environment.
Key Responsibilities
1. Resident Management
a. Welcome new residents and manage check-in and check-out processes
b. Promptly address residents and/or clients enquiries, feedback and concerns
c. Organise and coordinate resident activities and events to foster community engagement
2. Facility Management
a. Conduct regular inspections to ensure cleanliness, safety and proper maintenance of dormitory facilities, including common areas and resident rooms
b. Coordinate and schedule routine maintenance, repairs and cleaning services
c. Ensure compliance with safety, security and housekeeping standards
3. Administrative Duties
a. Maintain accurate dormitory records, including resident data, incident reports and maintenance logs
b. Coordinate room allocations with the Resident Management Team
c. Manage email and telephone correspondence with residents and clients
4. Stakeholder Coordination
a. Liaise with relevant government agencies (e.g. MOM, SPF, SCDF) and project stakeholders
b. Ensure compliance with dormitory licensing requirements and site safety regulations
5. Conflict Resolution
a. Mediate resident conflicts and address behavioural issues in a fair, respectful and timely manner
b. Enforce dormitory rules and policies to maintain a peaceful living environment
6. Communication
a. Maintain clear and open communication with residents, staff and the Management
b. Keep residents informed of important updates, events and policies
c. Utilise various communication channels such as email, notice boards and messaging platforms (e.g. WhatsApp)
7. Community Building
a. Promote a sense of inclusivity and community among residents
b. Organise and facilitate social and educational programmes to encourage resident engagement
8. Compliance
a. Ensure adherence to in-house policies and FEDA regulations
9. Problem Solving
a. Respond effectively to operational issues, including maintenance emergencies and resident disputes
10. Data Management
a. Maintain records of dormitory occupancy, maintenance requests and resident feedback
b. Prepare and submit reports to the Dormitory Manager as required
10. Additional Duties
a. Perform any other duties as assigned by the Dormitory Management
