Job Description

Qualification & Requirements:

  • Education: Minimum GCE O Level, NITEC, or Diploma in Maritime Studies, Logistics, or a related field preferred.
  • Technical Proficiency: Strong knowledge and competency in computer applications (PC Literate), especially Microsoft Office Suite (Word, Excel, Outlook).
  • Proven experience (minimum 2-3 years) in the Marine operations industry is highly advantageous.
  • Prior experience in liaising and handling administrative/operational matters with MPA and PSA.
  • Familiarity with the registration, permitting, and licensing processes for vessels, tugboats, and crane barges in Singapore.

Core Competencies:

  • Strong communication skills (written and verbal) to effectively coordinate with internal and external stakeholders.
  • Excellent organizational and time management skills.
  • Proactive, able to work independently, and possesses good problem-solving abilities.
  • Must be willing to perform routine onboard/onsite vessel duties for surveys and inspections


Key Responsibilities:
The Operation Coordinator will provide comprehensive support to the Manager on all Marine Fleet operational and administrative matters, focusing on:

Fleet Operations & Regulatory Compliance (Singapore)

  • Manage and execute all necessary administrative work related to MPA registry and PSA registry for the entire marine fleet.
  • Oversee the application and renewal of all essential Permit licenses for vessels, tug boats, and crane barges.
  • Coordinate with internal teams and external bodies for mandatory vessel surveys and inspections.
  • Conduct routine onboard vessel surveys as required to ensure operational readiness and compliance.

Commercial & Procurement Support

  • Prepare, generate, and track Sales Quotations for marine services and vessel chartering.
  • Supplier coordination for procurement of parts, services, and bunkering, ensuring timely delivery and cost-efficiency.
  • Process and document purchase orders and service agreements, maintaining accurate records.

Stakeholder & Crew Management

  • Serve as the primary liaison for Tugboat Owners and other vessel principals for operational and contractual matters.
  • Manage the Crew duty roster, ensuring adequate staffing and compliance with working hour regulations.
  • Maintain and update accurate crew profiles and portfolio management records (certifications, training, medicals).
  • Foster strong working relationships with all stakeholders, including clients, owners, and regulatory bodies.
