We are looking for a Operations Associate who will be responsible for ensuring the smooth functioning of office operations and managing day-to-day administrative and logistical activities. This includes office management, vendor coordination, event logistics, startup and partner record management, and accounts payable processing.
The responsibilities outlined below are not exhaustive and can include other related tasks. The person will from time to time work for other projects as the company requires.
Role and Responsibilities
Office Management:
- Documentation & Records Management: Maintain accurate documentation and records across operational activities.
- Office Administration: Support general office management tasks to ensure a well- functioning work environment.
- Inventory Management: Oversee office supplies and inventory.
- Event Support: Provide logistical and administrative support for events conducted by the Company.
- Vendor Coordination: Assist in maintaining relationships with vendors and service providers.
- Operational Reporting & Insights: Support the team in generating reports and insights to support decision-making.
Business Operations:
- Startups Management: Manage startups onboarding and maintain up to date records in the CRM and internal databases.
- Partnership Administration: Manage administrative aspects of partner management, including filing, renewals, and maintaining records.
- Accounts Payable support: Proactively support timely and accurate preparation of accounts payable, including invoice processing and payment.
- Mentor Management: Support the onboarding, offboarding, and renewal of mentor agreements, including maintaining mentor records and updates.
- Mentor support: Proactively provide assistance for mentor-related queries concerning systems, processes, and invoicing.
- Operational Reporting & Process Improvement: Proactively contribute to process improvements and support the team in generating operational reports and insights.
Key Qualifications
- Bachelor's degree in Business Administration, Operations, or a related field.
- 2+ years of experience in operations, program coordination, or administrative roles, preferably in a startup or accelerator environment.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Proficiency in digital tools such as HubSpot, Notion, Slack, and Airtable.
- Excellent interpersonal and communication skills.
- Strong proficiency in English, with Chinese as an advantage for reviewing documents when required.
- Self-motivated and able to work independently in a fast-paced environment.
