JOB OVERVIEW

We are seeking an organized and results-oriented Supply Chain Manager to oversee and optimize the end-to-end supply chain and logistics operations for our expanding network of clinics. You will play a critical role in ensuring that our clinical teams have the necessary medical supplies and equipment to deliver exceptional patient care. Your primary focus will be coordinating supply and operations across 7 clinics, managing vendor relationships, and implementing the most cost-effective route planning for our delivery drivers.

Key Responsibilities

1. Multi-Clinic Supply Chain & Operations Coordination

  • Oversee the daily supply chain operations to ensure seamless delivery of medical supplies, consumables, and equipment to all East Coast Podiatry and Orchard Clinic locations.

  • Act as the central point of contact for clinic inquiries regarding inventory, deliveries, and supplies .

  • Monitor logistics to ensure they run smoothly, resolving operational issues such as delays in delivery or discrepancies promptly .

  • Collaborate with clinic managers and other departments to create coordinated plans for business growth and new clinic setups.


2. Inventory Management, Usage Monitoring & Procurement

  • Maintain and optimize supply chain inventory levels across all 7 clinics to prevent stock-outs or overstocking, ensuring safety stock levels are maintained.

  • Monitor Clinic Usage Patterns: Regularly review usage reports from each clinic to identify trends, discrepancies, or anomalies in supply consumption.

  • Minimize Misuse & Wastage: Investigate instances of high usage or unusual consumption patterns. Work with clinical staff to implement corrective measures, educate teams on proper usage, and establish protocols to reduce wastage and prevent misuse of medical supplies.

  • Track and report key functional metrics (including wastage rates) to reduce expenses and improve supply chain effectiveness.

  • Finalize purchase details of orders and deliveries, ensuring compliance with legal and healthcare standards.

  • Communicate and negotiate with suppliers and vendors to land more profitable deals and build a culture of long-term savings on procurement costs.

  • Oversee inventory accuracy, conduct cycle counts, and investigate discrepancies between physical stock and system records.

3. Cost-Effective Route Planning & Driver Management

  • Develop and optimize daily delivery schedules and routes for drivers to maximize efficiency, reduce fuel consumption, and minimize travel time across the 7 clinics.

  • To design the most cost-effective paths for the fleet .

  • Coordinate driver assignments, monitor real-time delivery progress, and manage on-the-ground issues to ensure timely deliveries .

4. Documentation & Compliance

  • Delivery Documentation: Oversee the accurate completion of all delivery-related paperwork, including delivery orders (DOs), trip tickets, and proof of delivery (POD) acknowledgments. Ensure all documents are signed and returned promptly by drivers.

  • Inventory Records: Maintain meticulous records of stock movements, including receiving reports, stock transfer forms (between clinics/warehouse), and return merchandise authorization (RMA) forms for supplier returns.

  • Audit Trail: Ensure all supply chain transactions are properly documented and filed to support internal and external audits, maintaining strict compliance with healthcare regulatory standards where applicable.

  • Incident Reporting: Document and report any logistics incidents, such as accidents, stock damage, or delivery delays, and file the necessary reports for management review and insurance purposes.

  • Database Management: Maintain an organized digital and physical filing system for vendor contracts, purchase orders, and logistics performance reports.

5. Process Improvement & Reporting

  • Propose and implement continuous improvements to supply chain processes, including warehouse organization and distribution workflows.

  • Foresee potential risks (e.g., supplier alterations, delivery accidents) and develop contingency plans.

  • Ensure all supply chain processes meet legal requirements, safety standards, and company SOPs.

  • Support the implementation of system initiatives and maintain necessary records for performance tracking.

Requirements

Technical Skills:

  • Proficiency in Microsoft Excel (for data analysis, including wastage tracking) and Google Sheets.

  • Familiarity with inventory management systems and Warehouse Management Systems (WMS).

  • Excellent multi-tasking and problem-solving abilities to handle operational challenges.

  • Meticulous documentation skills with a high regard for accuracy and audit compliance.

  • Proactive in identifying waste and implementing preventative measures.

  • Must be organized, meticulous, and able to work in a fast-paced environment.
